How to Utilize Organization Contacts

Issue: We have been encountering issues in which an organization’s contact is not populating in a mailing list. When we send event invitations, we would like the addressee to be an actual person at the organization instead of the entire organization. To do this, or so we thought, we have been relating individuals as Contacts for an organization. Our organization address processing options are set to (1) mail to contacts at the organization, (2) mail to each contact found, (3) if no contact is found, include organization address, and (4) if contact is also an individual, mail to individual only. However, when we process the invitation under the Invitation Mailings tab in the Event module, the export does not include the organization contact’s information. We conducted an internal investigation and concluded that CRM no longer looks at an organization record when that organization has a contact.

Question: How is your organization utilizing or working around organization contacts so that invitation list exports include the contact’s information instead of the organization’s?

  • Azhlee, could you please clarify? You mentioned that you use the setting: “if contact is also an individual, mail to individual only.” Are the Contacts appearing in your mail file without their Organization address/recognition? Or are the Contacts not there at all, even as Individuals in the mail file?
