Student Awards - transitioning from EE

Hi all! We need to transition our awards report from EE to Academics. Would appreciate any pointers or recommendations on setup from someone who has done this! We have academic and athletic awards. Has anyone imported awards from EE? How are you handling historical data? Thanks :)

    When we migrated (escaped?) from EE to SIS, we did transfer awards after the primary migration work was complete.

    1) Export from EE. I found it helpful to include the student's EE student number and the email address to use as unique identifiers. That made it easier to match the record to the student's UserID in the SIS.

    2) This is a good opportunity to refine the format of award names. Modify the export to get the award names into the format you will use is SIS, and verify that the awards exist in the SIS (Academics > Grades > Grading setup. Awards tab.)

    3) Import the awards (Core > System tools > Data import. Create an import job with Category Student and Import type Awards.

    Use the file layout to get the CSV format correct.

    I found it easiest to validate the file format with test runs of one or two records first, and then validate the entire batch.

    4) After a successful import, tun an Advanced List to verify the data.

  • Hi Brian! Out of curiosity, how many award types does your school have? We had about 600 in EE (YIKES) which I was able to significantly clean up but there's still a bunch. At first I was hoping to just have a few awards types (Ex: Outside Award, Shipley Award, Athletic Award) and then put the award type in the comments. BUT I just discovered it appears that the comment doesn't actually appear on the awards report.

    We have just under 100 academic awards.

    • a “Book Prize” for each academic class (best student in all sections of a course)
    • a handful of awards sponsored by the school but not tied to a specific course
    • a handful of awards sponsored by others but awarded by the faculty (Xerox, Bausch and Lomb, etc)
    • Cum Laude Society
    • Graduation Medals (3 per year)

    We include the full name of the award in the title:

    • Book Prize - Univ. of Rochester/Bausch and Lomb Honorary Science Award
    • Book Prize - Spanish VII

    The awards appear on the transcript as part of the right column, 33% width.
