Opportunity/Proposal Multiple Funds

What is your best practice on entering opportunities associated with more than one fund? Do you add the total ask amount of $20,000 and no fund? Or do you split out the total ask amount to separate opportunities for each fund and ask amount associated with the fund? We want to use opportunities to enhance our tracking and reporting on specific funds instead of Excel spreadsheets for verbal commitments or asks for which we don't have a written pledge to enter.

I use ‘split gifts’ within batch to designate the campaign, the fund associated with that campaign, and how much is given towards each fund. Here is an example of multiple campaigns and funds. Under the check mark is your ‘split gift’ icon within batch.

Hi @Barbara Kunkel - I would recommend you leave the Fund blank or create a placeholder Fund to indicate it could be split between multiple funds; with either of these options, utilize the summary note field on the opportunity record to include detail how the gift should be coded.

Hi Dana, This is the first organization that I worked at that uses split gifts. Have you linked an opportunity/proposal to a gift that used “split gifts”.

  • Our Advancement department splits the proposals based on fund. It is very helpful during gift entry. We also enter split gifts and you can link only the amount needed to a certain proposal. You can also link the same gift to several proposals. So if the payment comes in and its for three proposals when you enter the can be linked to those three proposals. You can choose the amount to link to each one.

  • Austen - thank you for replying. On these larger proposals, we have in the past left the Fund ID blank and used split gifts on the contribution received. One of my fundraisers would like to see it broken out separately to track just their portion of the large proposal.

For us, the opportunity is a specific fund (and different campaigns also) so it can be easily tracked, accounting is happy, etc.

Thank you Angela, This helps and I didn't know you could link a payment to multiple proposals

  • Hi Barbara,

We enter separate opportunities…just cleaner for reporting purposes.
