Getting Candidates to Use BBID

Hello,

We already have BBID set up for students, parents, and staff. That puts us in a better situation than most. Though I am a little anxious about what to do for applicants that only interact with our Checklists on the Enrollment Management section of Blackbaud before they become accepted students.

We originally just set temp passwords in a Bulk Upload, and then used YAMM to send them an email with their username (the personal email) and temporary password to get into Blackbaud. They would then be able to fill out their Checklist from there and present their files for Committee Reviews.

With BBID, do any of you have over 1000 users you need to inform at one time? We've historically had candidates and parents of candidates that will all be given a date when their login is available. I was able to get this ready with the Data Import tool. I worry that with BBID, I'll have hundreds of emails of people that can't figure out how to integrate their personal email as the BBID in a very small window.

What steps are y'all taking for your applicants with the BBID announcement? This is directed at schools that have an admissions process.

Hi Grant, I'll allow other schools to chime in, but when you turn on BBID for EMS, you'll have access to the list that allows you to invite your users to BBID and a notification that will automatically go out when you do. We have well over 200 schools who have now turned it on and as of now have not received feedback from schools saying that users are having trouble following the prompts to get logged in. If you need documentation on how to set it up and FAQs let me know.

Hi Grant - we have a similar setup, and we're regularly connecting around 30 users a day to BBID through new inquiries. When we connected all of our existing users to BBID (not applicants), we had almost 8000 new connections that we needed to send, and it went off without any major issues. For those, we did a bulk upload of all users to assign the BBID based on the user's email address.

We do not use the automatic email notification. Since we use our inquiries as a checkpoint to inform applicants whether or not seats are available in their preferred school and grade levels, we have a tailored official note that includes information on creating a BBID. The instructions are the same, just presented in a slightly different manner.

How do you handle your applications? Are they housed within EMS or do you have them in a separate host that just outputs a list of emails which you then bulk upload into Core? If it's the latter, what I'd probably suggest doing is bulk uploading new users, not creating a temporary password, then connecting through the Unregistered tab in BBID and sending the notification email that way.

This is a different question within the realm of BBID for Enrollment Management. We have enforced BBID for enrollment management, but I can't seem to find the field to change “username” to email on the apply login options. Am I missing it?

Hi Trudy, that box is actually part of core, so no way to update it from EMS. I've passed along your feedback to the team who handles it to see if we can get it updated.
