Allowing teachers to see pre-entered absences, trips, etc. ahead of time

Hello! At our school, when students have an upcoming field trip, an early dismissal for an athletic event, or some other reason why they won't be in class for certain periods, our attendance manager pre-enters that ahead of time. However, teachers can only see those upcoming absences, trips, etc. on the actual day – so, for example, when it became this current day (October 14th) at midnight, my “Take Attendance” buttons appeared for all my classes in “My Day” under “Schedules & Performance,” and now I can look ahead of time and see that certain students will be missing class today due to early dismissal for cross country meets, etc. What I'd like to know is this: is there a way teachers could be enabled to see this information BEFORE the actual day rolls around, since our attendance manager does enter it several days in advance?

To elaborate: Currently, on the “Schedule & Performance” tab, I can click back hundreds of days into the past, and see the attendance for my classes for all those days – but if I click FORWARD through all the days, there's nothing there that lets me see the attendance stuff ahead of time (such as those pre-entered absences for trips, etc.). Is there setting our school could change that would allow all teachers to see that information? Either on the “Schedule & Performance” tab, or somewhere else?

  • @Brendan McGrath Attendance Managers can do future, pre-entered absences, but you probably don't want to give this access to all teachers. We do this at our school, but the Admin Assistants are in charge of pre-entering the absences, not teachers.

  • @Megan Peter Hi Megan; thanks! I understand that it would be problematic to let everyone be able to actually enter/edit pre-entered absences, etc., but is there a way for teachers simply to SEE those pre-entered absences ahead of time, before the actual day? Thanks! :)

    @Brendan McGrath There is a “Pre-excused Absences by Student” report that can be made available for Teachers to run from their Class Roster Tab. This will give them the visibility to see an absences for their class that has already be put into the system prior to the day of that class.

    I found the report that @Whitney Donnelly mentioned. Platform managers can make it available to teachers and advisors, etc.

    • Core > Reporting > Reports, then click on the Report Admin tab
    • Search for Attendance
    • Find the Pre-excused Absences by Student - Section report
    • Click Role
    • Select a role in the left column, then click Add to Group
      • repeat as needed for other roles
    • Click Save and Exit

    The report will appear in the Run Roster/Student Reports menu on the section's Roster page.
