what is a best practice for Reinstateing a past Student

I have heard wonderful things aboout this group and could use your collective expertise.

I need to collect a deposit not count the record as a New Applicant or as a reenrolling student and keep them counted for the registrations stats until school starts in September 2023

any thoughts for any part of this question?

  • @Ossy Goldenberg, I don't believe what you're proposing is possible. Students enrolled for an upcoming school year are either Students (if they're enrolled in the current year) or Incoming Students (if they're newly enrolled). There isn't a third option to classify past students who are returning; they would simply be an Incoming Student like others who are entering for the upcoming school year.

    Are you expecting this past student to reapply, or are you going to enroll straightaway without going through an admissions process? If it's the latter, I would recommend setting up a different checklist that only has a contract on it, and assign whichever enrollment contract you would like to use. That way, the student would be an Incoming Student, but you'd be able to filter by the type of checklist.

    Another option would be to assign a different type of enrollment contract to the past student, and report on students by their enrollment contract type. If you use this method, you will need to set the past student up as an Incoming Student first (using the “Re-enroll in School” function in Core) and make sure the parent has a Blackbaud ID assigned to be able to access the portal to complete the contract.

    Ideally I would want the family to re-apply with a new application form and am having difficulty changing the student from an incoming student to a candidate in order to get the parent to complete a new application.

  • @Ossy Goldenberg If the student is already in as an Incoming Student, then you need to go into Core and on the Access tab, under Personas, click the pencil and select Undo Incoming Student Enrollment. That will change the student back to a candidate, and at that point you can do what you need to get the student set up with an application or whatever other paperwork you need.
