Limit User access to just receiving Official Notes

We have students who are part of an outside organization (let's call “Helps Students”) that help with mentoring, etc. They work closely with our and we have paperwork that allows us to release information to the outside counselors. There is a part-time teacher here who also works with Helps Students and she is currently set up in BB as the advisor for all Helps Students. This is so she can get all official notes for the students and then forwards them on to the respective Helps Students counselors.

This is a cumbersome process and we would like to set it up so the other counselors who work at Helps Students can receive the Official Notes emails. I have two thoughts on how to accomplish this:

  • Create new users for the Helps Students counselors, set them as advisors under “employment” then attach the appropriate advisor to the student
  • Add the Helps Students counselors as an additional parent

We don't want the Helps Students counselors to have access to anything on BB, we just want them to get the Official Notification email. Has anyone done something similar? What am I missing?
