RE NXT GIFT Transaction ID Matching

I would like to know if anyone has experience with matching the transaction ID on a RE NXT gift record to the corresponding transaction ID field in BBMS (Merchant Services transaction data). When reconciling thousands of gift records, I need a way to efficiently match the RE gift data to the BBMS data record, and the transaction ID is a unique identifier that resides in each system.

  • @Mark Bailey, have you been able to output the fields both into excel? If so, you can perform a comparison easily enough in excel by matching the columns.

    Hello Faith, as you can tell based on the date of my reply, I have not logged into the community portal in a while. Based on what I know today, there is not an export or query in RE that retrieves the transaction ID. However, I know it is available as a field in the Payments API. I am working with a local programmer to establish RENXT and BBMS Payments API queries, and once completed, I hope we will be able to structure a matching process that works efficiently.

    The issue isn't so much what the export/API can give you but what is recorded in RE and how it was recorded.

    For example, many Blackbaud platform uses BBMS, JustGiving, Online Express, Luminate Online, NetCommunity, are some of them. Each has it's way of gifts being “auto” or “manually” get into RE, and some of them automatically put transaction id that matches to some ID or reference # on BBMS. So unless auto/manually these ID are processed into RE, you will have a hard time matching. You will want to review your gift entry process and match each “application”. (BBMS export gives you the application that “created” the gift, so it is easier)

  • @Mark Bailey This is the reason we moved away from daily disbursals as it was too difficult to find why some were in certain days and others disbursed across to another day.

    From what we were told, you cannot match them across systems as there is no way to pull that information “out” of NXT/RE7 since it “lives” in BBMS and no identifier that will connect the two. I found that ridiculous as they have to be matched somehow, but it may just be behind the scenes.

    We use BBMS and the method that I was instructed to use was use the disbursement reports for each day, enter that into a spreadsheet, then find the corresponding gift entry in RENXT (or REDB) and enter the gift details like fund, appeal, etc.

    I switched to using a transaction list from BBMS instead, because going day by day was too inefficient for me. I then use a gift list out of RENXT and have to do a fuzzy match on the gift details in Excel.

    I would like to be able to just use the transaction ID to match them up 1 to 1 without having to dig into the details if someone gave on behalf of a company or another constituent. I can see the credit card processing information in RENXT and it does have the transaction ID and reference ID in the gift details under the payment information.

    I see that some of the applications auto get added to RE NXT Batch and when commit creates the gift (i.e. JustGiving, the gift committed has the “Donation Ref” in the comment field of a RE gift, this does NOT directly has match in BBMS report, however, if you download JustGiving Donation Report, there is a column for Donation Ref and there is a column for BBMS Transaction Id, which now maps to the Transaction report in BBMS “Transaction ID” field).

    and then there are some that is “manually” entered by your gift entry team (i.e. MobilePay App). Then it becomes a question of IF your gift entry team entered any “identifying info” that matches with the BBMS transaction report.

    It is not easy and different for every application/platform. In RE it is best you keep a custom field that is the “platform” of the origination. I have a “Online Origin” custom field, which allows me to know which platform the gift charged on, this will help.
