Adding Prospect Research Documents to NXT as Attachments

Hello all! I hope all is well! Question regarding saving prospect research documents in RE NXT. Is it best practice or common to save prospect research documents as attachments in RE NXT? Some staff is concerned about confidentiality of the sensitive information being saved on the donor's record (as an attachment - ie ResearchPoint info and other findings), while others thinks its ok. Seeking guidance and thoughts! Thanks in advance and have a good day!

  • Hi @Lanetta Gilder, A few points to consider. If the information is in the public domain, in that the research info is widely available on the internet without any payment, then it's not as much of a concern.

    If it's from a paid service, or information from private conversations, that could be more of a concern.

    A solution would be to isolate these records using the Security Groups function. You can isolate the records using a query and create a Security group which you then allocate to specific users. Users who aren't included in the security group will have a black record and ‘you do not have the rights to view this record’. This would completely remove the record access for those not included in the Security Group.

    The other option is to change the permissions on the Prospect tab to only those with a particular security role. This would keep the record active to all users but the Prospect tab with the attachments is hidden.
