Solicit Codes

I have been searching at various times where/how to change the current solicit code entries so others cannot type the same thing and create a new, but duplicate, entry with different case (some lower case letters, some caps.) Or even an option to make it a check box. Anything to limit people's rights of creating extra entries - and me clean up work.

Any thoughts if this exists? Thank you!

    @Dana Burton I would think you could restrict rights to edit with your security settings for code tables, solicit codes.

    @Dana Burton If users have the rights it might be good to establish procedure of clicking to open list of codes and select from the list vs. keying in a code. I know it has helped me stay consistent. :) Hard to break habit and teach new way though.

    @Dana Burton - Agree with JoAnn, you need to lock down permissions for editing tables. In addition to that, it is possible put permissions in place where users can only add/remove solicit codes by entering consent records; it lends itself well to keeping an audit trail of changed communication preferences.

    @Dana Burton I suggest not letting users have access to Config all together. Just your database people. That way they cannot add any tables, etc. I have done this and it makes life much easier.

  • @JoAnn Strommen, @Austen Brown, @Joe Moretti Only the president and I have rights to access Config. However, (in database view) this is the solicit code that some have chosen to type the code - ultimately creating another to clean up.

    I tried looking for a way in Config yesterday to change this possibly to a drop down for people to choose from and not be able to type anything in (unless it simply auto-populates what is already there.)
    Though different people over the course of my time at this company have been told what to do (or not do with the previous system that caused many deleted constituents) - people think they are right and do it anyway. Again and again.

    I'm having trouble locating where I can make such changes.

    @Dana Burton In database View, all the people who do not have access to Configuration (meaning it does not show up at all on their computer) are not able to add any tables including Solicit Codes. RE will not allow them to do it. So if they do not have access to Configuration, I do not understand how they are able to do that.

    You commented that many constituents had been deleted. It sounds like you need to review your security settings if that hasn't happened already. You can restrict the right to ‘delete’ to only the most advanced users. Even our CEO doesn't have the right to delete to prevent accidents.

  • @JoAnn Strommen, this was happening in the pre-RE system. People wouldn't listen to what they were permitted to do and what they shouldn't. I want to squash those possibilites before they get out of hand, or better yet - arise.

    So grateful for all of your help! I was hired as data entry with admin plopped in my lap. LOL
