Pay Deposit Before Signing the Contract

Hello,

My school is implementiong Blackbaud Enrollment Management and Blackbaud Tuition Management.

We are running into an issue where it seems like families have to sign the enrollment contracts first before they can pay their deposits. However we want to set it up so that families have the flexibility to pay their deposits without having to sign their contracts.

Has anyone been able to configure the system so that families can pay the deposit without having to sign the enrollment contract first?

Any advice would be much appreciated.

    Hi Julia! Were you ever able to figure something out for this? I have the same issue with our incoming freshman class because they are required to pay the deposit prior to our contracts being ready….last year was our first year with BB and we ended up using a school form for this, but I don't feel this is ideal. Just wondering if you found some other way? Thank you!

  • @Julia Looi I have not used this feature but in the editing of the deposit section, there is a box you can check stating “ Give payers the option to pay deposit & enrollment fees in school”. This allows parents to pay by check outside the payment system. Would this help? I am not an expert, so I would check with BB first!

  • @Chrystalle Kiefer I can't quickly think of a way to pay the deposit before signing the contract, although parents can pay the deposit without accepting (and therefore returning/submitting the contract.) If I needed to do that, I would be inclined to handle the two things separately like you did last year. You can manually record an amount paid on the contract after it has been generated to indicate a deposit already received. I don't know if that can be done in bulk though, and you may need to customize the “allow in-school payment” option in order to allow the contract to be submitted.

    Thank you Shannon. Last year after we generated the contracts we went into all the freshman contracts and zeroed out the deposit if they had already paid. I am currently planning on using the same steps again this year, it just isn't ideal at all! My other option was to create a contract specifically for those who have already deposited that had the deposit at zero, but I already have 25 different contracts!!! I hate that BB doesn't offer any conditional formatting when creating contracts! I went from 1 contract in my old system to 25, that is absurd!

  • @Chrystalle Kiefer I've had a few situations where I really wished for conditional formatting especially on forms, but thankfully I've managed to get everything except faculty contracts back to a single contract which is a huge relief.

    I'm wondering now if there is a way that you could use deposit rules to automatically change the deposit amount to 0? We have different deposit amounts for different students, but I don't remember the options there being very expansive.

    I just wanted to make you aware if you didn’t know there is a Data Import in Core that allows you to adjust some contract values in bulk after generation.
