Family Directory

Hi all, we seem to have found a hiccup in the Family directory (which includes parents and students). When we search for a parent (impersonating another parent), their address doesn't appear in the directory information, unless you go to their contact card. If you search by student, the parent information will show under their record. I'm guessing this has something to do with the filters we have on the directory (grades and homeroom teachers for students) and/or the family status (divorced, parents have different addresses). Does anyone have insight into why this is happening? I have checked the privacy settings for these individuals and profile publish settings, but haven't found an answer.

It would seem that you need to change the filters in Profile Relationship Access (Core - Security - Profile Access). This is where you can customize Who can What according to their profile role (parent, student, teacher, etc.). I would start there if there are things that you would like for a parent to see of another parent.

@Jeff Gaudet Thanks! That was one of the initial things I checked.

I think I've been able to narrow it down to an issue with Home vs. Home 2 addresses in the case of siblings with divorced parents (different addresses). In cases where one student had one parent's address as home, and the other as home 2, and vice versa for the other student. It may have also been that having the parent with whom they don't reside (isn't preferred address) as the Home address vs. Home 2.

Now I'm trying to figure out how to surface this so I can audit for any others that may be in a similar situation and adjust accordingly… (@Jessi Walters or someone else from BBEM have any insight here?)

@Lauren Henderson probably the easiest way to check would be to create a candidate list and add columns for home 1 and home 2 address and filter on community connection → sibling is a student.

@Troy Burki Thanks for the tip! I honestly haven't spent much time in Enrollment Management as we only use it for contracts. I was hoping to filter ALL current students/families at once, but this is something I will add to the new student onboarding process for next year to try to catch these situations!

@Lauren Henderson I find myself going back and forth between candidate lists and user/student lists for different pieces of information because unfortunately a lot of data is siloed in one or the other. For example, if you want to filter on community connections (siblings, alums, faculty kids, etc.), even for current or past students, you have to use a candidate list. By default, the list is filtered on users with the candidate role for the current entering year but it can be changed to students and remove the entering year filter and then you'll have access to that relationship information. Not sure if that's exactly what you're talking about but hopefully that helps.

@Troy Burki thank you! Now I just have to figure out how Community Connections are/are not getting populated in our environment…it looks like students who have entered since we implemented BBEM (just the past 3 years) have the connections, but students who entered prior to that do not.
