Inquiry flow-do you send out paper information?

Hello fellow Admission Office folk,

I have a general question for the people who manage new inquries.

We start with the inquiry and once processed to the appropriate Admission Counselor (and invite them to login to our admission portal), send out a packet of information to the family. This includes a cover letter, magazine, viewbook and a school profile. Then we send out a letter each week for 3 weeks from different offices as a touchpoint. to the candidate families.

In an effort to be more efficient, I am interested in what you do.

Do you send out anything or are you paperless?

  • @Coco Parham We follow a similar flow to your school. We start with the inquiry. Once processed, I manually send them the Blackbaud admission checklist invite. I make sure they are inquiring for the current enrollment season. If they are inquiring for a future year, I do not send them the invite but a thank you for inquiring email. I send a packet of info with our viewbook, admission checklist details, and our school's At A Glance sheet.
    We will follow up with any inquiries throughout the admission season. We set up Official Notes as the February 1 deadline approaches to send out messages to anyone missing checklist items. If we do not hear back from families we will send personal emails to find out if they are completing the admission process or if they are not pursuing our school. We also have at least four events throughout our season so regularly send invites out to our inquiries. We also follow up with everyone who attends an event.

    I process the inquiry and then send the appropriate inquiry ON/email (we have emails specific to international and domestic inquiries). The email refers them to certain information on our website and provides the application process etc.

    I then set due dates for a follow-up email from a Director and email inviting them to schedule an interview.

    Most of our information resides on our website so we can easily link to things.
