How to manage misc files for multiple application years?

We have a population of children who reapply to the school, and when we look at their records in enrollment management, ALL of the misc files the parents have ever uploaded are visible and we are not able to discern between entering years. Support advised that we rename the file types every year, but there's no clear convention on how this would work, as we have multiple entering years open at any given time and only one file type can be associated with each checklist item. How are other folks managing this area of the enrollment management record?

  • @Laura Forshay what particular things are you using miscellaneous files for? I basically avoid using them for the reason you mentioned - they are not separated by entering year and remain if/when a candidate reapplies.

  • @Laura Forshay I am struggling with this question, too! I cloned a Candidate Checklist to see if it is possible to add a tag or notation to the general “Misc. File” to denote the entering year. Seems not.

  • @Troy Burki we use the files for teacher evaluation forms, recent report cards, and written assignment samples.

  • @Laura Forshay Unfortunately that's one of the pitfalls to using the miscellaneous file type. We currently use online teacher recommendations and the school type checklist step for transcripts. I also repurposed the application writing sample upload block in the application form to allow families to upload a supplemental document/video because the standard upload block creates another miscellaneous file. Sorry that's not much help for all the existing files you might have - hopefully the ability to tag misc files with a specific entering year is added in the near future.
