@Anthony Plamondon Do you mean just recurring gifts being paid monthly or also pledges with monthly payments?

  • @Christine Robertson Also, do you know anything about generating 2023 monthly giving acknowledgements?

@Anthony Plamondon - If you're referencing Year-End Statements or tax letters there are a number of ways you can go about this. Here are a few options, there are pros/cons for each:

    • Export Data & Merge in Word - You can run a query/export file and export the data out of Raiser's Edge. From there set up a template of your year-end tax statement and run a word merge. The pro is you can control every aspect of the project, but the con is the time/effort it takes to get the final result.
    • Annual Statement Report (DBV) - This can be run out of the database in bulk, or segments for easy sorting/mailing. If sending a letter with the statement that would have to be a separate document and would require some effort on your part to merge the cover letter in the same order as what was run through the statements report. The pro is the system does the heavy lifting for you in terms of the statement, but the con is you can't really control the appearance/what's included in the statement beyond a few basic fields. https://kb.blackbaud.com/knowledgebase/Article/75569
    • Giving Statements (WV) - This can be run out of web view in bulk, or segments for easy sorting/mailing. Same as above, if sending with a cover letter that will need to be merged in the same order as the reports. The pro is the system does the heavy lifting for you, but the con is you cannot change anything listed on the receipt beyond org information and it does not include stock gift information. Depending on how many stock gifts your org gets, this could be a deal-breaker. https://webfiles-sc1.blackbaud.com/files/support/helpfiles/rex/content/rcptmgr-giving-statements.html
    • Power Automate - This is an option for the future, say next year. With automation the merging would happen automatically and can be customized to your org's exact specifications for what you want to include in tax statements. It has the added benefit of being able to email the information automatically, as well. The pro is everything is handled automatically - you can schedule it to run, and it runs using the dynamic data within your database to create copies to print/email. But there is a steep learning curve to learn Power Automate to build the automations yourself, or you would need to partner with a third-party (like AutomateGenius) to build the flow for you.

@Anthony Plamondon Some orgs will run annual giving statement listing each gift. This is only necessary really if monthly gift amount is $250 or more.

Are you just thanking/listing gifts or are you wanting to create a receipt they can use for tax purposes?

Receipt is easy. We run a consolidated receipt thru mail capturing all the gifts for calendar year. Receipt has statement that this is ‘total received via monthly direct debit/credit card charges/payroll deductions’ etc. just change for each group I run. If that's what you're looking for I can explain process in more detail.

@Anthony Plamondon For constituents with current gifts being paid via credit card on a monthly basis (both Recurring and Pledges), I would use a Constituent Query with the following gift criteria - Gift Type = one of - Pledge or Recurring Gift, Gift Payment Type = one of Credit Card or Direct Debit and Latest Payment Made greater than or equal to 1-1-23. Since this is a Constituent Query, I would put parenthesis around the gift information to ensure that all of these criteria are true on the same gift.

For the statements, I would echo @Austen Brown's comment since those are the options available for Giving Statements.
