Enrollment Contract Payment Schedules

Our enrollment contracts are set with payment schedules that are 10-months (June - March). We have noticed when a family enrolls after June that they are only allowed a payment schedule of full pay. How do I allow a family to select a 10-month plan even though they enroll late?

    @Christopher Brons the 10-month payment plan should keep appearing on the contract as long as the plan expiration date on the contract has not passed. This KB 203318 explains how to adjust the payment plan expiration on the EMS contract.

    If a family were to enroll after June for example the tuition would be split into the remaining months.

  • @Bryan Lorenzo This is very helpful. I have a follow up. I reviewed the applications in question and they have expiration dates of 6/30/2024. A family in question was enrolling in December 2023. This would certainly fall within the period. Unless…there need to be 10 months within the date of enrollment and expiration date. For example….the payment plan is 10-months June-March. If a family enrolls in December 2023, does the expiration date need to be Sept or later 2024 as that allows for 10 months, however it will still only go through March as that is the schedule setting. That make sense? It is the only thing I can think of as to why it would not be working.

    @Christopher Brons they should be able to select the 10 month plan as long as its not expired on the contract.

    • Let say your 10 month payment plan has the tuition months from June 2023 - March 2024. The family enrolled in December of 2023 and their tuition is $9,000.
    • Once they submit the contract it should divide the tuition evenly into 3 payment of $3,000 into the remaining months on the plan of January 2024, February 2024 and March 2024.

    In BBTM, the months with a * under Settings > Manager Payment Plans are your Tuition Months that is where the system will bill tuition to.

  • @Bryan Lorenzo Sorry, I have another follow-up. I noticed the block states “The Expires date will be the final day the payment plan displays to parents. If no Expires date is present the payment plan will always display.” I attempted to simply delete the date and once I save it, the date switches to 1/1/1900. Feels like a Y2K bug ?. If it truly is locking in that date, then this simply will not be seen, correct?

    @Christopher Brons I would think if its putting 1/1/1900 after you removed the date and click save that the payment plan would then not show up since its not blank. You should reach out to Customer Support to verify.

    We accept enrollment contracts throughout the school year. I am currently trying to build a rolling enrollment contract, however I am having an issue with the payment plans. If I leave the monthly payment plan as having 10 payments (August-May), this is not true for families enrolling after August who may have only five or six payments. I can add all the different options and set them to expire when no longer applicable, but this isn't really feasible since there isn't also a publish date so the contract would list many different payment plans. Do you have any suggestions about how to approach this without having to make a new contract each month so the payment plan displays the correct number of payments?

    We do not have Tuition Management, only Enrollment Management.

    @Michelle Amaya unfortunately, the payment plan block doesn't work the same way on non-integrated contracts as it does with Tuition Management integrated contracts.

    With non-integrated contracts you can't add additional payment plans to the contract after it's been viewed by a parent since your contract template is locked.
