Access to Resource Documents for Candidates?

We have 5 documents that we would like to share with prospective families who have applied and we have accepted for enrollment. These documents are PDFs of things like Q&As for each program and the before school and after school care, school calendars, and tuition and finance policies. Ideally I would create a resource board for families of candidates but I don't think that is an option. I've also tried adding a document for download to the candidate checklist but that seems to be limited to one document. Has anyone else been successful at sharing documents with candidates families?

@Moriah Petersen Griffin what I do is create a school form and add sections for the various information sheets/policies that we send out when contracts are issued. We add acknowledgement boxes at the end of each section and then a signature box at the end for parents to indicate they have reviewed and agree to all of the information.

For file uploads, I like using Core → Content → Additional content types and adding things like the calendar or brochures that are updated yearly there because each year you can replace the file but it will maintain the same link. This makes things way easier than having to go through all the forms and replace the links each year.

We have slightly different forms for the different contract types so I set up hidden community groups that use smart group lists for adding the students to the correct group based on their contract type. Once the groups are set up, you can select them as recipients of the corresponding school form with all the materials you need to share with them.

@Moriah Petersen Griffin I like Troy's idea of a form - I'm going to file that away for the future.

You could also include links to these forms in the comments section of your “Accepted” decision type so that the links are displayed on their Decisions tab. I have several links there. Mine are mostly contract instructions, but they could be anything candidate families need. I can't remember if there is a period after signing the contract, but before gaining access to resource boards where they lose access to that Decision tab, but it's useful for anything I want to share before they complete the contract.

@Moriah Petersen Griffin I know that many people have requested that a resource board be made available for candidates and parents during the application and enrollment process. There have been several posts in the “Ideas” section. It seems like it should be an easy addition in Blackbaud so I'm not sure why they haven't made this available yet.

@Moriah Petersen Griffin You could go into Core > Access > Role Membership and make them a Friend. Then assign those items to Friends in Resource Boards.
