Inquiry forms showing even when inactive (and archived)

How can I get my Inquiry forms to stop showing? Once we no longer want them available, I mark them inactive and archive them. We found out (quite by mistake) that forms are still able to be filled out and submitted.

Any suggestions?

  • @Jennifer Gallo how are your inquiry forms being displayed? Is this related to inquiries coming in for a particular entering year or do you create a different inquiry form for each year? Once we reach the end of our admissions season, I modify our inquiry form to only allow for selecting interest in a future entering year so that new candidates for the current year are not created any more.

    We are in our second year using K-12 and have created a different Inquiry for each year and a separate one (shorter version) for an annual class we are getting ready to open. A few parents have found old links and have been able to access forms that theoretically should not be viewable. We are adjusting the way we handle a few things this coming year, therefore questions are a bit different on each form.

    I guess I'm just really surprised that “inactive” does not mean inactive.

  • @Jennifer Gallo You can't. I've complained - at length and repeatedly - to Blackbaud about this. This has been in the idea bank for going on seven years (!!): https://blackbaudk12.ideas.aha.io/ideas/K12OB-I-1096, so clearly no one at Blackbaud thinks this is an issue worth fixing for whatever reason.

    My workaround is to deselect all entering years on archived inquiry forms, which prevents the inquiry from being submitted since entering years are locked as required on all inquiries. It's an imperfect solution, obviously, but it works.

    Now that we have the ability to edit forms after they're live, you could also include a text field at the top of an inquiry and edit that to say “this form is no longer active” with a bunch of line breaks so that there's no question to the end user the form isn't going to go anywhere.     Wish I had better news for you, but alas.
