How to get the list of events attended/registered by a group of constituents from NXT

We have started adding the events in NXT but do not have Event Module in the database. How can I query or export the list of events attended or registered by a group of constituents?

@Naila Asif - Unfortunately, there is no way to get directly at this information from within Web View. You'll need to go to each event record > work with participants > filter on attendance and export. Then within excel you can analyze the data to get what you're looking for.

Alternatively, you may be able to speed up this process by using a tool like Power Automate to grab the data from RE and complete some of the busy work for you.

If you haven't already.. open a support ticket with Blackbaud about no access to event module in database view, this should not be the case and need to be corrected by BB.

Once ok, then in database view, you can run event participant query and target the specific group of constituent to see what event they registered/attended for.

@Naila Asif the answers from Alex and Austen are both right, depending on which version of Event you have.

There is a free version in webview only that is available to everyone who has RENXT. None of that information will be available in database view, in which case you can use Austen's suggestion.

If you are paying for Advanced Events, that means you can track information in both views. If that is the case, reach out to support as Alex suggests.

If you aren't really sure what's going on, this knowledgebase article and the links within it will be helpful.

  • @Alex Wong, thanks Alex, I will open a ticket but will I have the Event tab in the database view or just the option to run queries and exports for Events?

I noticed that on one fine day when I logged into to database view, I had the event tab. I checked with other RE stake holders and no one knew about this change. I did import participants from a recent event and was able to run the queries and export. After a couple of weeks the event tab again disappeared from the database view.

  • @Austen Brown, this will be a very complicated process if I am asked to pull the list of events attended by a group of ids particularly when we do not have power automate tool. Prior to NXT, the event attendance was tracked through constituent attribute using the export tool. I have started using NXT Event and now I do not know how to track. I will ask BB to give the option so I can run queries and export function even if we do not have the Event tab in database view.

@Naila Asif - Based on your response to Alex, I recommend you reach out to support. Since you were previously able to use database view functions in relations to events, you should still be able to do that.

@Naila Asif If you don't have Supervisor rights in RE7, you may want to ensure that no one at your organization removed the rights for Events in database view for your security group. I imagine this is a longshot of a reason for why you don't see the Event tab, but it could be a possibility.

  • @Christine Robertson, thank you for asking this. I have admin rights in database as well as in NXT.

  • @Alex Wong, I got the event tab back in the database after I opened the ticket. Thank you everyone for your suggestions.
