Best Practices Regarding Denials

What does your process look like for denials? Currently, our denied applicants will receive a letter in the mail with their denial notice. There is hesitation from other staff members to input “denied” as the decision on Blackbaud (which would be done after the letter is received in the mail). Do you mark denied applicants as such? Do you inactivate them afterward? Would love to hear how other schools handle this process. Thank you!

    Hi Emily,

    We personally call anyone that our school denies. We normally do not mail deny letters in order not to add salt to the wound. Blackbaud is marked, decision is marked as acknowledged by the family and an official note is made after the call to place notes about the phone conversation. The file is then marked inactive and will be purged during the summer end of year process. We also mark them as “rejected” not deny. I hope that helps. Have a great day. Thanks, Julie
