Final Transcripts

Two questions:

1. How do you request that parents send final transcripts to your school? We are in our first year of using Enrollment management in Blackbaud, so we want to know how it is done when you use both Enrollment Management and the academic management side.
2. Who manages the process for the final transcript for incoming students? Is it the admissions team or the registrar?

Third question: do you use the Student Checklist and what do you include on that?

@Matthew DiStefano Our Registrar requests final transcrripts for incoming students. He usually does it in June.

We have not started using Student Checklists yet. Not sure when we will.

@Matthew DiStefano Obtaining the final transcript is part of our registration for incoming students. We have a form parents submit to their current school requesting they send to us. If not received by August 1, we reach out to the school for the final transcript. All of our registration items are on the student checklist so we can monitor what is still outstanding.

@Matthew DiStefano for final transcripts, I added school type step at the end of the candidate checklist (not viewable by families) where the pdf is uploaded and the step marked completed when it's received from the sending school by a person in our admissions office. I haven't made much use of the student checklists at this point - I've tried to use them in the past but they are very different from the concept of candidate checklists and seemed to just be a way to assign/manage school forms.

Hi Matthew,

When we have our new student orientation nights we have the parents sign a new release form for us, we collect them as they are signed that night. When school is officially over we mail them to each school requesting the final transcripts. The admissions office handles this process.

We only use for the admission process only and it lists all the major pieces to our application process along with a few others like shadow days and interview being completed.

We use the SSAT (EMA) common application. Hope that helps.

@Matthew DiStefano for us it is the registrar (me). I request the transcripts and enter the transfer credits over the summer if it is a high school student.

I LOVE student checklists. I use it to have parents “sign” forms that we need signed each year, gather documents that are missing (birth certificates, state health forms, etc.). I have specific checklists so I only assign what I need from that student. I track needed items with admin view custom fields so I can quickly run a report and assign the checklist.
