Does anyone use Quickbooks Online and BB Merchant Services?

Hi RE NXT Community!!! We have been live with our new RE NXT implementation for 2 months and I am super new to the whole world of BB and Non-Profit.

We are hoping to improve and streamline our manual process of reconciling BB Merchant Service transactions in Quickbooks Online. Does anyone have experience with this process that might be able to assist?

Our account rep sent some info for Gift Exports but nothing that looked like it would work in our situation.

@Rosie Zerbst Welcome to the world of BB! Unfortunately, I'm not sure what you are looking for exists currently without some sort of development process with BBMS data (and I don't know if that is available for tools like Power Automate).

The team at Omatic has a tool that can help with reconciling between RE and QB, but that wouldn't be exactly the same as BBMS (since that would contain deposit information as well as fees that don't natively live in RE).

@Rosie Zerbst create a query to pull the records you are looking for. Then use that query to create an export that pulls the fields you need to match with QB.

depending on if you use split gift in RE, you will likely not want to use Gift Export. Export will ask you how many split you want to export and put them into columns and it is not going to work well with external system that tries to intake that information.

If your purpose is to do bank rec, I'm not sure why you want to intake the information into Quickbook in order to do bank rec, unless that is your financial system and it has the financial details to bank rec against.

Bank rec is hard for accounting (my org experienced first hand with multiple accounting firm helping). They generally fail to realize what is the “connecting dot" between the transactions in BBMS against the gift record in RE. A database manager (such as yourselves, but you said you are new, so you will need some experience) will be able to tell what are ALL ways that BBMS transaction can come from and tie the “origin” of the transaction with data coming from those platform. (i.e. Luminate Online, Online Express, JustGiving, RE NXT Donation Form, etc). Cuz it is always going to be tough to simply trying to match on transaction date (due to timezone differences, refund, chargeback, etc). As database manager, you would know how exactly the gifts recording policy is and account for every situation. This isn't some “tool” that can just “do it for you”
