Adding notes to a specific proposal/opportunity

Hello. We're currently migrating into RENXT and I'm preparing proposal information for mapping and import, but I can't see where to add notes to a proposal in the web view. The notes I'm importing don't really fall under the proposal summary and aren't actions or attachments. I would like to be able to continue to add notes to the proposals once we're up and running in RENXT. How are people managing this? Are you adding a custom field called proposal notes? I appreciate any recommendations you may have whether it's something that's working quite successfully, or if it's something you tried and found it wasn't the best way to record this information. Thanks!

While there are Proposal Notepads available in database view, they do not display in webview. You also need to do a separate import, since Proposal Notepads are separate in the Import section in Admin:

Not sure what the future holds for Proposals (i.e., Opportunities) in webview, and I can say that Proposal Notepads are not currently in the Opportunity API.

What kinds of information do you expect to be adding to Proposals once you are up and running? These might be better as Actions that you can link to Proposals.

@Amy Silvaggio At our ORG I require all fundraisers to enter their proposals in Database View, since RE NXT is limited. In RE NXT you cannot add notes, attachments or actions. Also you cannot make Status or Fundraiser/Solictor a requried field as you can in Database View, which is a requirment for us. This two system database has always been problematic., since it does not talk to each other at 100%.

@Amy Silvaggio This may not be exactly what you are looking for, but I created an adaptive card in Power Automate that lives on the constituent records for proposal/opportunity entry. This allows me to control required fields that can't be required in NXT and for the notes, I can still collect that information as part of the card and when the user hits submit that information is placed into an Excel sheet that is ready for import in to RE while all the other information is added directly into the new opportunity record being created.

  • @Dan Snyder Hi Dan, Thank you for the suggestion. It's something to consider as we move forward. Amy

  • @Joe Moretti Hi Joe, Thank you for the heads up on this. I'll make a note that we should consider only entering proposals from database view. Amy

  • @Karen Diener Hi Karen, thank you for your recommendations this information is both helpful for the import and for considering how we will track information in the future. Our current database doesn't really allow us to track & extract proposal actions in the same way RENXT will so once we're integrated we may be able to adjust how we log various proposal details as either:

actions i.e. feedback from a funder, next steps, or comments around the process and response time

or as attachments i.e. copy of the acceptance or rejection of funding email/letter.

I appreciate everyone's suggestions, it's definitely given me some ideas for how we can manage this information as we move forward. Amy
