Student Schedule Changes Not Updating For Students

Has anyone else seen this issue recently? If we add or drop a class from a student's schedule, we can see it on our admin end, and the teacher can see the change on their end, but the students do not see the change on their “My Day” page until the next day. So for the whole first day of the change being made, they can't see the update on their schedule. We've been notified by a large handful of students that this is the case. I have even checked back hours later with students on the same day a schedule change was made, and they still could not see the change. They had to wait until the next day to see the update on their schedule. I contacted support and they are going to look into it – I just wasn’t sure if anyone else had seen similar behavior.

    Yep! We're finding if I student is dropped, the student will no longer show on the teacher's roster but the student continues to show in their attendance list. If a student is added to a new class, the class will show in their Classes dropdown but not on their schedule page. Super frustrating.

    Thank you for the response! When I chatted with support, it sounded like the first they had heard of it. Hoping for a quick resolve, as it causes [understandable] confusion for the students/teachers.

  • @Michael Clark If we use Manage Classes to add a new class to a student's schedule, it will appear immediately on a student's My Day > Schedule. If we use Edit Enrollment (under Academic Profile > Schedule) to add a new class, it does not appear on their Today view. The student can only see the newly added class if they click Month or Week in the upper-right and view their schedule within the calendar.

    In case it matters…I have programs that read student schedule information at 4:00 AM Central time via the API (AcademicsEnrollmentsByUser). Changes made to student schedules yesterday were not included in the API response at 4:00 this morning, but were included at 9:30.

  • @Liz King That is good to know - I experienced the same thing this morning: student standing in front of me with “My Day” not matching what's on my screen. If I only have to make one change I will use Manage Classes instead. It would be much less of a concern a few months into the year, but not during the first week …

  • @Michael Clark according to BB support, this is working as designed. The system assumes when we make a schedule change, it wants the original schedule to remain until the end of the day. The updated schedule will take effect the following day. I have no idea who BB consulted with when making this feature, but every school I've heard from wants schedule changes to take affect immediately.

    A work around, although it adds extra steps, is to go to academics>scheduling>requests and schedules>manage classes>edit the students enroll date to the previous day. This will allow the class to show up on their schedule the day the change has been made.

    What's frustrating is that they aren't recognizing this as an issue. Their response is that the student needs to wait a few hours for the change to become visible. This has never been an issue in the past though. In most cases, waiting a few hours can often mean that it's too late.

  • @Michael Clark And a student just got bit by this change today - I changed the schedule in the morning, his new class was last block, and he got an unexcused absence for not going because his schedule hadn't updated (we removed it, of course). If I didn't want students to see their schedule changes until the next day I would make them at the end of the day. There is no functional reason for this change; registrars should be able to make these decisions.

  • @David Gillespie - my advisors are frustrated! This is a huge issue in our school especially with this the first 9 days of “withdraw” forgiveness. We are constantly changing classes for students throughout the day - my teachers and attendance person are struggling with this. Why would an Educationsl product not update schedules when there are changes - makes absolutely no sense!!

    Oh and by the way - the work around - going to Manage Classes and making the changes there - NONE of my advisors have access to this feature and scheduling admins don't want them to have access and I agree.


  • @Kathy Hannon I just confirmed what the student reported: that it's out of sync with attendance. This is a problem. So I make a change to a schedule, the student doesn't see it until tomorrow, but it's on the teacher attendance screen right now. The student not seeing it until tomorrow is annoying, but this is inconsistent - teachers shouldn't be seeing it either. Show it to both or don't show it to both, but don't mix it like this. I would hope that this is not “working as designed” but was unintended.

    Apologies for the confusion and incorrect information that was received. This is not an expected experience for the Edit Student Enrollment modal and enrolling classes from it. The behavior between the single student modal and the manage classes modal should be the same.
