Shadow Day Visit Feedback Form

Does anyone use any type of automated process to collect candidate shadow day visit feedback from your teachers? Currently we use google forms, but I would really like to find a solution from the system to automate this process or if there a way to collect multiple feedback for one candidate internally.

Not yet, but it's my understanding they are working on it. It was mentioned in a product update briefing a while ago as something they were starting, but the time frame was vague. We use google docs right now too and I remember thinking it would be nice since we wanted that functionality too. They were looking at making it similar to the external recommendation but I figure there will be some differences.

Thank you. I've been waiting for them to launch that feature also. I provided some feedback when they were evaluating this process, but no updates on ETA on where they are at with this form. I hope they launch something soon. It's ridiculous that we don't have any option to send something via checklist to collect shadow visit feedback or interviews feedback.

@Ami Naik we are indeed working on a new feature that would allow you to collect feedback for visits and interviews through EMS. We are wrapping up our work to redo the visit and interview settings and will be releasing that in the next couple of weeks. We're going to dive into the work to add the feedback form functionality right after with the goal of having this available around the start of this upcoming admissions season.

After a shadow day we survey our student ambassadors or teachers with separate Cognito forms we created. works well for us.

We use Committee Review, but it is not easy and has some quirks. It would be great to have a standard form that doesn't require multiple steps to assign.

One thing I'm working on right now is to work in Microsoft forms. IF I can get this to work I will send you step-by-step instructions with pictures :)

1,. Create the Microsoft form (For automation)
2. Create a Power Automate Flow (To instigate action)
3. You Can use SKY API to then Update any fields from the form into BB (GET Constituent and PATCH the field you want to update)
4. Match Logic in your Power Automate so that IF the identifying constituent feature lines up, it gets entered. IF it does not, then you can have it sent to an admin to alert them of the submission

@Julie Johnson Sorry I have not received any updates on this feature. We are using Cognito forms at the moment, but I sure hope EMS launches this feature soon before the new admission cycle. You could use blank form from school form and customize the form there, because they now have the ability to share URL for school forms. This means you no longer have to assign this form. Anyone with the hyper link can fill out the form about the candidates. I need to test this form as feedback. I have used this for early acceptance and to collect the early decision deposit fee's. The returned form will show up in candidates profile. It works really well and it could work for shadow day feedback in my opinion. I just need to convince our team to adopt this method vs. Cognito form. I am working on it!!!

We currently use Official Notes. We created a monitoring team for teachers. Each shadow day we assign the shadow teacher(s) to the monitoring group and send an official note from the candidate record using an official note template that has a link to the google form they need to complete with their feedback. The google forms are set to notify our admissions team when a response is submitted. The system notifies the monitoring team user (teacher) automatically as we configured it to do so. Even with the automation, we have delays with the system notifications which sometimes causes errors and it is still too laborious.

I tried recommendation forms as well, student checklist, school forms, etc.

We need this functionality now. We need to be able to have a candidate checklist step with Online Recommendation type (so we can use matrix and file upload) without publishing it to the candidate and have the ability to send the request to our school's teachers.

We use Committee Review, but it is quite complicated from a setup perspective. A lot of manual work on the part of the Admissions office.
