Cannot Add Appeals from Previous Fiscal Years to NXT Gifts 😭

I am sure someone else has already started this topic. I couldn't find it when I searched. When will this capability be added? Giving is not so static that appeals are retired as soon as the fiscal year closes. When is NXT going to be updated to be more usable in this particular way?

Are your previous FY appeals active? Even in db view, an appeal has to be active to use it on a gift?

I would expect function to be the same in NXT. If the fund/appeal is active and some how not available due to FY date, that would be an issue.

Thank you for your response! It's my understanding, from entering gifts in NXT, that it is very strict about which appeals are entered.

The appeals in question are active and are not linked to any particular campaign.

They can be worked with in DBV no problem.

Hmmm. I have not experienced an issue yet in my limited use of NXT gift batches related to appeals.

Is there an end date associated with the appeal? ~~Or are there certain stipulations on the Campaigns to only allow specific appeals?~~ That doesn't explain why you can do it in DBV. I haven't run into this problem myself, so I am not sure what could be causing it.

RE NXT does not give "year context" to appeal, meaning, RE NXT does not know/care if an appeal was created last fiscal year or this.

What you do with the appeal matters, as some already stated:

Inactive Appeal cannot be use on a gift, webview or dbview
Appeal with Start Date and End Date and your gift date falls outside of that date range cannot be used on the gift, webview or dbview
Appeal can be "data entry limited" to certain Campaign or Fund, if setup that way, then the appeal cannot be used in combination with Campaign or Fund that is not associated, webview or dbview

If none of the above is your issue, then open a support ticket.

I think some level-setting clarification is necessary here.

When Appeals - or Campaigns or Funds - are marked as Inactive, you cannot enter them in either view.

Appeals - as well as Campaigns and Funds - can have Start Dates and End Dates. In database view, you can definitely add a gift code even if there is an end date. There is a warning prompt that alerts you to the fact that you are entering a gift that is outside of the date range, but you can add the gift anyway.

So funny that I saw this post today. I had an email from my Gift Entry staff person who was having a problem adding a gift to an FY26 appeal. It turned out I had entered an end date for that appeal (end of the fiscal year, 6/30/26) when I created it!

Are these gifts from a giving form where the appeal information was recently updated? We ran into a similar issue after updating our giving forms with the new fiscal year’s appeals on July 1st. Gifts that had been initiated before the appeal update, but were batched after the update, began generating errors.

Like others have mentioned, my first step was to confirm that the appeals were not marked inactive. What we eventually found was that the appeal associated with the giving form at the time the gift was initiated could not be changed before all gifts tied to that form were committed. If the appeal was updated too soon, those pending gifts produced errors that prevented them from being committed.

The workaround was to temporarily change the default appeal on the form back to the prior fiscal year’s appeal, process the affected gifts, and then update the form again with the current year’s appeal. After committing the gifts, I updated the appeal/package information on each gift as needed. In our case, this only affected gifts that were initiated before the form’s appeal was changed but processed afterward. Once those gifts cleared the system, we did not encounter the issue again.

All of this bears the question of if there a benefit to adding an end date to appeals? Especially in the case of appeals clearly delineated as a Fiscal Year/Calendar Year XXXX. Is there a point of noting that your FY25 appeal ends on June 30, 2026 or is that already understood? This post shows some of the chaos that the end date can impose. Are we doing this as a training supplement to restrict gift entry, or is there another reason?

I don't know if I have an opinion either way, but it's clear that these dates can create confusion if one in not paying attention.

That is a very good point!!! If it's clear in the name of the appeal, why add the date when setting up the appeal? Just duplicate info. Thank you for this!

Especially with mailed appeals. I know I'm not the only one that gets flooded with last year's appeal once the new one hits mailboxes. LOL.

😁In our office it's know as "Jean." My mom, while in her 80s and 90s, would put the reply envelope from the newsletters/appeals she received in a folder if she planned to send the organization more $. When I started helping her with writing checks, it would be to "just pull an envelope from the folder"addressed to that org and use it. LOL
