Creating Separate Renewal notices for Upper Level Members in Altru

Hi There,


We're working with a consultant who has recommended creating distinct renewal notices and acknowledgement letters for our members donating over $500. Is there a way to pull our upper level member categories out of our regular renewal process; send them a different letter or email; but utilizing the same Altru process so that the frequency of the renewals is the same and the upper level folks don't get two duplicate notices? Our membership staff are very concerned that any solution will be cumbersome and complicated and could result in loss of memberships. Any guidance would be helpful!

  • When we send general renewals, we uncheck the box for our upper
    tiered levels, and vice versa when we send the message to the upper
    levels, we uncheck the lower levels.

    Thank you! Are you changing out the letters for the separate levels each time you check and uncheck? We've got 10,000 member households and we're nervous about the workload on our small staff.
  • Yes, We have 20,000 households and it's just me.  I change
    the email package for each time of expiration and or level I'm
    mailing to.  Recently we've been sending the same covid-19
    notice to all....so the email package has been the same down the
    line.

    Hope you're well! We're still in on-going discussions about this. Do you know if the process would work in the same way for direct mail renewal notices, rather than email?
  • ​I think if you used the appeals section you could do separate
    renewals because you build the list (query) in the appeals
    package.

    I work in Member Services at the NC Arboretum. In your renewal process, how are you sending a different letter?  Are you exporting a CSV and merging outside of Altru?
  • We use the renewal email function within Altru and check and uncheck the levels and adjust the email package accordingly.  You can email me directly...lelder@pittsburghzoo.org
  • We, in the nearly two months of closure, have switched to all email renewals.  A big first for me...and us!  Usually I'd export and merge.  Gather my volunteers and mail out.  In addition to the normal two renewal mailings we have done in this new way, we did two 'further back capture' renewal mailings.  SO...I guess that is four renewal processes, all ONLY involving email packages.  Quite the learning experience.  And learning curve.  There are a few points I'm still curious about - including exceptions (as in...I asked for some pulled but the mailing says 0 exceptions?) and seeding.  Be great to hear of any email renewal membership package tips out there.  We'd like to one day get back to hard copy direct mail ... in some form - I know of course which way is cheaper, however, my direct mailings STILL bring in the gravy...Wondering if this too, though will change forever!!!!
