Reassigning actions when a fundraiser leaves the org

I'm wondering what others do with open actions assigned to a fundraiser when they leave an organization. Thankfully we don't have to worry yet, but looking ahead we want to make sure we are setting things up correctly. We implemented a new donor plan that is managed by one of our staff members. When they make a first gift, actions are assigned via workflow to a specific person over the next year or two. If this person were to leave the org, is there any way to reassign these actions? If so, how do we do this? if not, how do you handle this kind of situation considering that over the years, it could be potentially several hundred open actions.

    @Chris Fedor My organization has a standing moves management meeting run by our prospect management team with the fundraisers. In those meetings, they take a look and run through the portfolios of the fundraisers, and either remove people or add new prospects in the pipeline. There they usually go through the process of reassigning people to other fundraisers.

    We have very low staff attrition, but we went through a similar process when a fundraiser moved on a couple of years ago. (He decided to become a monk….) The process basically was to pull an Action Query of all actions assigned to him marked “not completed”. Export these Actions, change the person assigned, and then re-import them with the new solicitor assignment. After that, the original actions can be deleted with a Global Delete, and the Workflow can be edited to the new solicitor as well.

  • @Dariel Dixon We do the same things you do (except for “After that, the original actions can be deleted with a Global Delete”-left on previous fundraiser's record but marked Incomplete), but we also end date their prospects (we have a primary manager and we may have multiple secondary managers). We then reassign prospects to different fundraisers on staff or wait until their replacement is on board and then assign them to that new staff person.

    @Faith Murray Were you unable to change the solicitor on the original action?
