Outreach Programs Without Drawing From Daily Capacity
Hi all,
Our museum is beginning to offer structured, hour-long Outreach Workshops that occur offsite.
I am this close to getting it right in Altru, but need a little help. What I'm currently doing is booking these as Group Sales. I have created an “Outreach Workshop” Group type, and “Outreach Participant” as a Group Sales price type (with a $0 cost). The cost, then is coming from a Resource. (I have created a Resource for each unique program we offer, i.e. “Outreach Workshop – Junior Engineer” and “Outreach Workshop – Body Basics”. They're all the same price, but that way we can pull reports of which programs are most popular through a report of the resource use.)
This works perfectly fine except that we are a relatively small museum, so seeing that those 30 participants are going to be subtracted from our “Daily Capacity Available” isn't going to work. If we have three of these workshop sessions in a day, that's going to take 90 “slots” out of the museum's daily availability, right?
A few ideas:
- Is there a way to indicate that the “Outreach Participant” price type shouldn't count against the museum's daily capacity?
- Is there a way to associate this Group Sales entry with “Offsite” as a location?
- If I upped the number for “Daily Capacity Available" to account for and offset these programs, what are the ramifications of that?
- Is there a better way to book outreach programs like this? What I like about using Group Sales for these is that it would align with our Field Trips and make reporting for my department easy, but if there's a logical way to do this elsewhere in Altru I'll try it.
