Gift entry with a USB keypad for security

Question about using the new grid batch entry, based on what I'm hearing from our gift entry team members:

For security reasons, our org has to use an external USB keypad plugged into the laptop when entering gifts when a donor calls with a credit card.

Is it correct that there is no option but to manually enter the donor's email and mailing address, because the info won't populate from the record that was selected?

Do you mean when creating a new donor? We have created an internal use NXT donation form that requires minimial information to process the donaton e.g. name, email, credit card, amount and a comments section — we add addiitonal details required by gift entry staff to complete the gift entry e.g. fund name or tribute card information, etc. This ensures the credit card is processed without having to write anything down. The gift is just ready to be processed. This opton is a stop gap e.g if its a pledge payment you would process as a one time gift and still have to link to the pledge. It does answer the immediate need of someone is on the phone and gift needs to be processed right away.

This isn't just with new donors. The donor already has a record in RE, but the gift processing requires re-entry of the address, zip and email.

If someone calls with a credit card, how do you process the credit card?

To clarify: A donor calls in ready to make a donation with their credit card. Gift processor finds the RE record and is able to start entering the gift. Donor provides CC number. Processor uses the external USB keypad to enter the numbers, and is required each time to enter the email and address, although the constituent record has already been selected in the batch.

@Lucy Ruiz I like the idea of using a separate donation form that requires minimal input to capture the gift. @Chris Zello you are using the external USB keypad for PCI compliance, yes? I'm curious to know if you are using Bluefin or another provider. (We have been told that Bluefin is the only provider that works with BBMS.) We have been looking into external PCI compliant keypads for end of year and late night calls.

@Chris Zello apologies. I just reread your business use. You are asking about entering the gift directly into a batch. Perhaps a possible solution is to have a batch template that does not include those fields?

Agree with @Jeannie Goings - Enter these through WV Batch. As you move between rows, the payment will be tokenized and charged.
