Where Are My Lapsed Donors?

It’s that time of the year where organizations need to find their Lapsed Donors and try to get them to donate.  We want to make sure that fourth quarter is a strong one.
 

Can you believe it’s almost the end of the year already? If you are like me, you can agree that this year sure has flown by quickly! 

eTapestry provides standard queries that pull data to show those that gave last year, but not this year as well as those that gave some year, but not this year. These queries can be found under the LYBUNT  & SYBUNT category located under the Queries tab.  Inside this category you’ll find a few queries that can be very useful:
  • LYBUNT = Last Year But Unfortunately Not This
  • SYBUNT = Some Year But Unfortunately Not This
  • LFYBUNT = Last Fiscal Year But Unfortunately Not This
  • SFYBUNT  = Some Fiscal Year But Unfortunately Not This
If you want to create your own Lapsed Donor query, you can.  Since you can’t edit the standard queries, creating your own can be useful if you want to look at people who haven’t donated in a more customized date range.  You can also throw in other criteria such as donors that gave to the General Fund last month, but not this month.
 
Let’s say you need to find donors that gave in June 2015, but did not give in July 2015:

First, Find Donors that in June 2015.
  1. Click the Queries button on the menu bar
  2. Select a category that you want to store this query in (Ex: Base)
  3. Click New Query under the Tasks menu
  4. Name the query Donors From 6/1/2015 – 6/30/2015
  5. Set the Starting Query to Base: All Constituents - A
  6. Set the Data Return Type to Accounts
  7. Select Match Each Criteria under the Criteria Matching field
  8. Select Commonly Used Fields from the Browse Fields drop down menu
  9. Select Journal Entry Date from the list of links
  10. Type 6/1/2015 and 6/30/2015 in the Start and End Date fields
  11. Select Individual Transactions Received from the list of links
  12. Choose Greater Than Or Equal To .01
  13. Click Save And - Preview
Second, find those that DID give in July 2015.  
  1. Click the Queries button on the menu bar
  2. Select a category that you want to store this query in (Ex: Base)
  3. Click New Query under the Tasks menu
  4. Name the query Donors From 7/1/2015 – 7/31/2015
  5. Set the Starting Query to Base: All Constituents - A
  6. Set the Data Return Type to Accounts
  7. Select Match Each Criteria under the Criteria Matching field
  8. Select Commonly Used Fields from the Browse Fields drop down menu
  9. Select Journal Entry Date from the list of links
  10. Type 7/1/2015 and 7/31/2015 in the Start and End Date fields
  11. Select Individual Transactions Received from the list of links
  12. Choose Greater Than Or Equal To .01
  13. Click Save And - Preview
Third, you’ll need to subtract those that did give in July 2015 from those that gave in June 2015.  You’ll be left with donors that gave in July 2015, but dropped off and didn’t give the next month.
  1. Click the Queries button on the menu bar
  2. Select a category that you want to store this query in (Ex: Base)
  3. Click New Compound Query under the tasks menu
  4. Name the query June 2015 Donors That Did Not Give July 2015
  5. Set the Data Return Type to Accounts
  6. Select Subtract  under How Would You Like The Results Of Each Query To Interact?
  7. Set Query 1 Category to the category you built the query in
  8. Set the Query to Donors From 6/1/2015 – 6/30/2015 - A
  9. Set Query 2 Category to the category you built the query in
  10. Set the Query to Donors From 7/1/2015 – 7/31/2015 - A
  11. Click Save And – Preview
Now that you have the queries you need, you can adjust the date ranges to find people that gave in one time frame, but didn’t give in another.  This gives you more control than just looking at people that didn’t give Last Year and not This Year.
