Managing Event Actions

If you are like me, as the year comes to an end, your to-do list is growing larger and larger. My desk is covered in sticky notes, and I have numerous shopping lists and honey-do lists adding to the pile.

Today, I want to help you manage one item on your to-do list – your event planning to-do list.

When it comes to event management, there are dozens if not hundreds of things that you need to do – for each of your events!

Did you know that you can manage your entire event to do list inside The Raiser's Edge? Yes, you can! I’m excited, too!

And what is even more exciting is that you can add those tasks that you do for every event to your events as action tracks. Hmm… What’s an action track? I asked myself the same thing when I started working in The Raiser's Edge many years ago.

The best way to describe action tracks is by visualize a bunch of dominos in a row. If you bump one, they all fall down – right? Well, the same concept works for action tracks. Action tracks are a way for you to take those routine tasks that you do for your events and make them into a list that you can add to your event records. What’s really cool is, you are in control of when the dominos fall, or in other words, when each action populates on your list

For example, when it comes to inviting people to your event, there is probably a list of tasks you do in a certain order, such as creating the invitation list, creating the invitation, buying stamps, and then sending the invitations. With action tracks, you can tell the system to add the first task to the Actions tab of your event record, and once you complete that action, the next action is added to your to-do list. Once you have the invitation list created, the system tells you it’s time to create the invitation, and once that is done, the next task is added to your list.

You can create as many of these action tracks as you want, so maybe you could have one for the invitation process, one for working with the caterer, one for preparing for the event, one for closing the event, and the list could go on and on.
