What's New: Filters For A Constituent's Notes And Actions

Kimberly, I read your first comment as 20 Notes or 20 Actions, as in, when you apply a Filter, it will show 20 results for that Filter, not the results when looking at only 20 records.  Definitely some clarification is necessary on this.  For me, I don't think these will be particularly useful and will continue recommending the full list views.
Hi Jen – Thanks for the additional information. I just reviewed the details with one of the devs,  and if we’re following correctly, it seems the records you’re looking at are behaving as intended. For the first record, there are 21 combined notes and actions. The only one that doesn’t display when you use the filter  is the oldest one dated 7/9/2018. The others have more recent or future dates – 7/16/2018 and 10/17/2018. So the filter is correctly not showing the note dated 7/9/2018. It’s the oldest record over the 20 limit for the tile.

For the second record, there are 24 combined notes and actions. The four oldest – 5/30/2018, 6/25/2018, 6/28/2018, and 7/9/2018 – don’t display with the filter. These are the oldest records over the 20 limit.

This brings up a good point though. The docs should explain that the tile shows the 20 most recent - or upcoming - notes and actions. I'll certainly clarify that in the topic :)

Thanks, Kimberly.  I was looking at a dummy record we were using for a training.  So 2 Notes total: with the Filter of [Notes Only], the Note dated 10/17/2018 displays but the Note dated 7/9/2018 does not display.  19 Actions total and all 19 appear with the Filter; all dated 7/16/2018 or later.  On a different dummy record, there are 20 Notes total: with the Filter of [Notes Only], 19 appear, all dated 7/17/2018 and the one dated 5/30/2018 does not display.  4 Actions total: 6/25/2018, 6/28/2018, 7/9/2018, and 7/17/2018...only the one dated 7/17/2018 displays with the Filter.  (Happy to do a screenshare or send an email with screenshots and show someone what I'm seeing.)
Hi Jen – Great observation. I just learned from one of our developers that the tile only shows the 20 most recent notes and actions. You mentioned two notes, but didn’t say how many actions you have. If there are more than 18, your other note was pushed below them. I’ll make a note of this behavior and add it to the docs. Thanks for pointing it out!

This is helpful, but in the test record I looked at just now, it says [2 Notes] at the top.  Clicking on that top link goes to a full screen display of both notes.  Setting the Filters to look at [Notes Only] displays only 1 note, not both.  Is this a bug or is there something else I need to do?  Oh...it looks like maybe the Filters does not display Notes or Actions from more than 10 days ago?  Clarification on this would be helpful and I cannot find mention of this feature in Help yet.
How can we export/print the notes on a record in NXT?
