Altru 3.14: Processing Partial Refunds

We've got a couple big features coming out with Altru 3.14 (the pi(e) release), but personally I'm partial to the partial refund work. Before this release of Altru, orders that contained a per order discount had to be refunded in full. Now, you can partially refund discounted items such as tickets, memberships, and preregistered program events. See it in action in this video:



With each new feature, there are a few questions that we ask ourselves to make sure we're delivering what you need and that you full understand the new feature and how to use it. I'd like to share our internal Q&A with you:

Why do customers want this?

We had limited functionality to do this before, but this now includes order level discounts.

What changes might existing customers need to make to best utilize this feature?

None.

What are the known issues?

You cannot partially refund Combo Tickets, Special Events, or Memberships with contributed revenue.

What would only you as a team know about this feature that other should know?

  • Order Level Discounts are distributed proportionally based on the value of the discountable items.
  • Items that have been partially refunded cannot be refunded again.
  • When refunding pre-registered events a registrant name and bar code appear on the page.  You want to make sure that the name and bar code match prior to refunding, because they don’t always match.
  • The Order Record and Revenue Record were updated to include a Refunds section, which displays the total for each refund.  These records no longer display red line items to represent a refund. Refund tab has been removed off of the order.
  • Only the Sales, Refund, Discount and Total Revenue Report were officially updated to reflect refunds properly.
  • When you fully refund a pre-registered program ticket, it does not matter whether or not you chose to cancel the registrant, the ticket is ALWAYS marked refunded and invalidated.
  • When you partially refund any ticket, the ticket is ALWAYS marked refunded and invalidated.

Was anything changed or removed from an existing feature?

  • Refunds previously was on a form and is now on a page.
  • We added the barcode, discount, and registrant columns.
  • We added a quick search to search by order number or last name.
  • We added the ability to cancel event and program registrations that are being fully refunded.
