A Few Hidden Gems Of Event Reporting

Published
There are a handful of reports that probably every Altru customer uses over and over again (e.g. Event Attendance, Sales by Program, etc.) but there are many reports in Altru that get overlooked. If you’re looking to change up your event reporting, here are a few hidden gems you may have missed. All three of these reports can be located in the Sales area of Altru.

Average Hourly Sales
This report is located in the Sales area of Altru and is designed to provide current and historical sales data for ticket sales based on the day of the week and the time of the day the sales occurred.

What’s the busiest time of day for Admission sales? What's the slowest day of the week for Admission sales?
You may know the answer to this based on anecdotal evidence but now you have statistics by Altru to back that up. The Average Hourly Sales report can be filtered for all programs, a specific program or selected programs based on a query. The report can also be filtered by Sales Methods, Start Time, End Time, Hourly Times and Dates and you can display your results based on the tickets or based on the orders. The report even includes a graph and pivot table to illustrate average hourly sales by day and average daily sales by hour.

A report like this can be a great analytical tool to understand your busiest times of the day/week and your slowest times of the day/week. For example, you may find in this report that Thursday evenings are a slow time for sales even though your museum is open later that day. Many museums in this position will offer discounted admissions in the evening or on certain days of the month where sales are slow to drive attendance. Using the discounts in Altru, you can easily configure them to automatically turn on based on calendar days, days of the week and times of the day. Information like this can help organizations maximize sales by offering discounts for certain slow times of the day, week, month or even year.

Marketing Survey
Marketing Surveys in Altru are a great way to collect information in the Daily Sales screen at the time of purchase. Since most organizations want to at least collect zip code information, this is a built-in feature in your Altru database. However, many organizations want to collect additional information and you can create user-defined survey questions for this purpose. This could be anything from “How did you hear about us?” to “How did you get here today?” Questions can be Yes/No or even have a list of answer options. (See here for more information on configuring Marketing Surveys in Altru.)

The report can include any date range needed and can be run for all questions, a specific question or selected questions based on a survey.
In addition to statistics on each response (both number of responses and percentage of response, the report includes a pie chart graphic to illustrate the results.

The collection of marketing data can be valuable for any organization to inform future marketing and strategic initiatives. A report like this can easily help you output that information for analysis.

Sales Comparison Report
When it comes to data analysis the old adage is often true; in order to know where you’re going, you have to know where you’ve been. The Sales Comparison Report will let you easily analyze comparisons between two different time periods.

This is a great report for that “year over year” analysis but you can also use time periods like “last month” and “this month” or “last week” and “this week” or even your own date ranges.

The report displays important statistical information like quantity (e.g. tickets sold or donations made), revenue, variances and percentage change. This is another great report to help Altru organizations make informed strategic decisions and identify upward or downward sales trends over various time periods.

This is a great reference!
I really enjoy these reports! We've used the average hourly sales for big events to see our busiest times.
These are good reports we use. Would love to have a litte more customization similar to what we had in Raiser's Edge.
