From Students To Graduates To Constituents: The Integration Story

Published

Once again the Pomp Circumstance has been played and the diplomas have been given out to students.  Now you need to convert the recently graduated students from non-constituents to constituents in the Raiser’s Edge. Luckily, with integration between Education Edge and Raiser’s Edge, it can be setup to accomplish this with a few simple steps!

First, the newly graduated students need to have their current status changed on their records to one that identifies them as alumni/graduated students. This can be done in two ways: End of Year Processing wizard or by Globally changing statuses.

Once the current status is changed, you can then set up integration to convert students with this status to constituents. To set this up, go to Integration > Set up Integration with The Raiser’s Edge > Students.

Here, you will want to mark the ‘Add students as Raiser’s Edge constituents’ check box and then choose in the filters the student current status for alumni/graduated students.

After setting up the Integration options, then the students with the selected status will appear in the Link Records grid to be added as constituents.  Tip: Filter your linking grid to show only the alumni/graduated status so you may view only the students being added as constituents.

If you have students that were already previously linked as non-constituents and now meet the criteria to be converted to constituents, then they will be converted to constituents the next time synchronization is run and will not need to be re-linked.

That’s it when it comes to converting graduate students into constituents! One thing that should be considered when converting graduate students is whether or not to stop sharing the graduate’s addresses with their relationships’ addresses. This should be considered because if they currently share addresses, when edits are made to the existing addresses, it will affect the shared parent/sibling addresses.
