Report Card Season-Posting Grades From FAWeb

It's getting closer to that time to provide students with their final report card for the year! In order to create report cards and send them out, we must first get the grades from teachers’ gradebooks into The Education Edge. Let’s walk through 2 great wizards that help make this process seamless.

The Update FAWeb Statuses Wizard

In order to be able to post grades from FAWeb, the classes must be marked as Ready. Teachers can do this in FAWeb when they are viewing their gradebook. If any classes were missed, instead of having to reach out to the teacher to mark the class as Ready, this wizard will update the status for you.

In Administration, select the option for Update FAWeb Statuses. A new window will come up where you can set the school, academic year, session and marking column.

You will need a Class query in order to run this wizard. Depending on what classes you need to update, you can query as broadly or specifically as needed. If all classes can be marked as ready, my favorite Criteria in the Class Query to use is Academic Year from under the Class Section.

This will pull every class for the 2015-2016 school year.

Once we have entered the query in the Update FAWeb Statuses Wizard, the checkboxes at the bottom can be marked as needed. The Posting Status To checkbox will allow you to set the grades as Ready. The Comment Status To checkbox will set comments as Approved.

Note: If comments are present for a class and Comment Approval is turned on, the comments must be marked as Approved before the class can be marked as Ready.

The Preprocessing Report will then check for any exceptions and, once ready, you can select Update Now.

The Post from FAWeb Wizard

Now that our classes are marked as Ready, we can post grades so they are available for reports and transcripts.

In Administration, select the option for Post from FAWeb. A new window will come up where you can set the school, academic year, and session. On the right-hand side we can select the marking column information.

The follow options can also be marked as needed:

- Change Posting Status to: this field can be marked if you would like to update the posting status of the classes once they are posted. This functions much like the Update FAWeb Statuses Wizard does.

- Post the Following: Grades, Comments, and Skills are options here. The appropriate boxes need to be checked depending on what information needs to be posted from FAWeb. Check as many as needed.

- Translate Blank Grades to: This can be marked if students with a blank grade should be assigned a specific grade, such as INC (incomplete), instead of just having a blank grade.

- Update Existing Entries: If grades have been posted previously for this marking column but need to be updated, this box will need to be marked in order for the wizard to post the grades successfully.

- Post as Letter Grades: This option allows you to have the system automatically translate grades from a number to the associated letter grade as defined on the Translation Table.

- Filters Tab: This tab allows you to filter if needed. If only a specific course or teacher should have grades posted, this tab will allow you to do that. You cannot filter by grade or by specific student.

Once all the settings are chosen, we can Preprocess to check for any exceptions. Ready to post? Select Post Now! Your students’ grades are now available for reports and can be viewed in the Grades section.
