Closing A Fiscal Year Can Be A Breeze

Closing a fiscal year is an easy process to complete in your data but, every now and then, you might receive an error and may not be sure where to go. There are three main issues that lead to errors when closing a fiscal year.

• There are unposted transactions in The Financial Edge for the fiscal year
• All users are not logged out of the database(s)
• Blackbaud Management Console (BMC) is open on the server

The first thing that you must confirm is that all transactions have been posted in all modules (Accounts Payable, Account Receivable, Cash Receipt, General Ledger, Payroll, and Student Billing) before you can close a fiscal year. If there are any unposted transactions remaining, you will receive "Error: These systems have un-posted transactions."

You must also make sure that all users have done File, Exit and Sign out from The Financial Edge and have not close clicked "X" to close the program. If you are integrated with The Raiser's Edge, you will also need to make sure that those users have done the same in that database as well or you will receive "Error: Closing fiscal year is an exclusive process. You cannot continue this process until all users have exited the system. This form will be displayed until the following users have exited."

If your IT department is making changes or doing any updates on the server, you will need to complete this process once they are done. Ensure the Blackbaud Management Console is not open on the server, as this will also cause the error mentioned above.

So, don't fret the next time you are ready to close a fiscal year, just remember to post all transactions, log out, and close the BMC.
