Marc's Minute - Tips and Tricks in the JE Batch Entry

I know, I know...sometimes entering data in the JE batch is time consuming, tedious and even repetitive.  There are many useful shortcuts within a JE batch that you may find helpful.

First of all if you have journal entry batches that repeat themselves on an ongoing basis simply save the batch as a recurring batch.  This way the basics are all there: gl accounts and distributions, amounts, journal references, etc.  Open the appropriate batch and save it as recurring by selecting in the toolbar Batch > Copy > Copy batch as recurring amount.

A second highly useful tool is when we accidentally post a batch that is mostly or completely incorrect.  No reason to manually type in the reversing entries.  Simply open the batch and select in the toolbar Batch > Create Reversing Batch.  This creates an open batch with every transaction reversed.  If some transactions don't need to be reversed, simply delete those specific ones.

If your batch is unposted and you need to make "global" changes to it select Batch > Globally Change Transactions.  From here you can select what field you want to change and what specific info you want to do that to.  Comes in handy when you have a large batch with a lot of incorrect account numbers, post dates, etc.

Don't forget about the blue default line.  If most of your transactions share common information populate the fields on this line.  Then when you tab to a new line for data entry it will populate the fields with the data from the defaults.

Some other useful tricks you can use can be accessed by right-clicking inside the batch.  This will give you a new list of options such as copy the line or cell above, You can copy a series of transactions or delete a series of them.  You can export the entire batch to an excel file for use.  And you can adjust the columns that are present in your batch template.  And you can search for specific info if it is hard to find in a large batch.
