Thank You Letters

Is there guidance somewhere on how to set up thank you letters? I am new-ish to eTapestry, taking over what someone else set up who isn't here anymore.


My issue is that I'd like the letters to coordinate with the different funds we use. Right now only one general letter pulls and I have to go into each donor's letter and customize the language depending on which fund they designated. It's fine for now, but when we hold events I have to do this for 100+ letters.

    Here is the steps I take to create a new letter:


    1. Click on the Communications tab

    2. Then click on Manage Communications

    3. Copy the General Letter

    4. Name the new letter the fund you would like to correspond with

    5. Create the new letter for the fund


    Next, under Queries...

    1. Select Manage Queries

    2. Expand Acknowledgement Letters

    3. Copy the General Letter

    4. Name the letter after the fund thank you created in the steps earlier

    5. I have four pieces of criteria selected for each letter...

    a. Cumulative Received - Greater than or equal to $0.00

    b. Journal Entry Date - Put in the range you would like to pull letters from

    c. Letters - Choose the letter that corresponds with the fund

    d. Journal Entry Types - I choose Recurring Gift, Pledge, Recurring Gift Schedule, Gift, Payment and Split Transaction (some also choose Soft Credit)

    6. Save and preview

  • Thanks for your response, Karen. When I went to Queries, I didn't have one for Acknowledgement Letters. Is this something you built yourself?

    Do you use photos in your acknowledgement letters? I'm also new to eTapestry and had the impression we could insert photos and wrap text, much like in Word. But I'm having a heck of a time with formatting - I can put a photo in but wrapping text is a mess. I seem to have minimal control over where the photo ends up and where the text wraps.

    Are there any tricks to make these letters look nice?
