September Spotlight On Altru Round-Up: What You Might Have Missed

Thanks for joining us last month as we explored Program Management & Configuration in our Spotlight on Altru program! We’ve gathered up all the resources from this month so you can see them all in one convenient spot:

  • The winner of the forum contest was Maya Rosman! Her tip for Program Management: “Know which Educators are scheduled to lead which programs (our fancy work-around)

    We primarily schedule education programs through Group Sales. Groups can visit and just enjoy the museum or they can book additional staff-led education programming. Once the Reservation team creates the reservation and schedules the programs, our education staff wanted to be able to assign individual educators to the scheduled programs so each educator could use a query to know what they were teaching, where, and for what school (along with any important notes, which for us are things like "bring reptiles to this animal program!"). Our work-around for this is that all of our program educators are listed as Supplies/Equipment Resources (so Mary Smith is in Altru as a resource the same way that a table would be in Altru). Then, when our lead educator goes to the programs, they can add the resource and voila! This way, the Educators are scheduled, they can't be double booked and they can all know what they're scheduled to do.

    We attempted to do this with Staffing Resources, but you cannot pull the specific name of a staffing resource into a Group Sales Reservations query. But you CAN pull in the specific name of a Supplies/Equipment Resource. This way, we can output the reservation details, as well as the time and location of the program.

    It took a while to land on this solution, but it works really well!”
