Day to Day: What's Your Focus Right Now?

The Community Managers were chatting about what organizations are working on this time of year. Is it campaign planning? Is it database cleanup? Tax Season? What is typically your focus at the start of a new year? We'd love to hear from you!

  • We just got through tax receipting season (every Canadian charity has until the end of February to send out tax receipts). Now we are preparing for our fiscal year end, noting that many Canadian charities have a fiscal year end of March 31st. After that we'll be into performance evaluations and some career planning with staff, then on to more functionality release management (events, reports, prospecting) and an all-hands meeting in June.
  • We are upgrading to NXT (tomorrow, in theory!) so that's 100% my life right now. I expect to spend the rest of the month training my team, getting the system optimized and then setting up reporting for everyone. This is month three in my new job, and a big part of my goal is to optimize systems - so implementing prospect management, and events management and getting the team off of spreadsheets. :)


    Generally speaking, since I don't have to the tax receipting, I anticipate this time of year being that review of processes and getting on track for goals since it's traditionally a quiet fundraising time of year for us.
  • hmmm... let me think.  Prepping for our 1,000 attendee annual fundraiser happening in March, prepping other spring friend raising/community building events for April and May, Putting Spring appeal on radar, adding new students/parents for Fall 2020 into RE as the accept, clean up for the March event...and always housekeeping in the database
  • Over the past month it's been working with a temporary accountant to get our books ready for our 2019 audit in April.
  • We prepare and send out our tax receipts before the end of January and then it is right into preparing for the yearly audit which is happening right now.  We also just sent out a Spring Appeal and our Miracle Sunday campaign is in full swing which started in February. Never a dull moment here!!

    We are focused on cleaning up our tables and getting out our tax receipt.  Also launching NXT.  I'm anxious to have NXT active, being we already paid for it months ago. I work in our donor services department as the Sr. Database Manager, but the powers that be are making us wait until all other departments are comfortable with it before making it active. So I just go about my day to day work. 
  • We are also preparing for the 2019 Audit. I have to gather tons of information regarding RE. I'm leaving for a well deserved vacation tomorrow and will be back on March 17th, so I will deal with that then. Have a nice day. 
  • We are working on our annual gala which happens at the beginning of May every year.  Invitations were emailed at the beginning of February and paper invites dropped on Monday.  We have been receiving a steady stream of registrations since mid-February.
  • I'm setting up for our end of year solicitation! I know, shocking. However, our annual Gala is in November, and since there's only 3 of us running the Foundation I always find that I don't get to put as much effort into it as I would like. (A/B Testing, actually setting up packages and making sure codes get onto the pledge cards, etc)


    This means I'm doing a load of segmentation and rearranging some stuff in the database (*cries*) so I can pull things like which scholarship a past recipient received into the letters.
  • I personally am in Data Clean up, Re-Enrollment for returning students and Enrollment for incoming.

    I am multi-focusing (Is that the same as multi-tasking?)


    We have our signature Spring event on April 25th and preparations are in full swing for that, AND we just launched the public phase of our $11M Capital Campaign. So concentrating on keeping those two running cleanly and efficiently and producing top notch reports is my focus.
  • I'm in the middle of launching a huge project with Evertrue, so that is taking up much of my time.  In addition, having inherited a less-than-sparkling-clean database, I'm review and cleaning up old pledges with questionable documentation and identifying payments that didn't get applied to pledges which should have been.  Trying to squeeze in some NXT classes as well and negotiate budget items in my spare time!  ?
  • In the lull after tax receipting and before spring events, I am taking more RE courses. A goal this year is to earn the professional certification. 
  • We are starting to recover from severe tornado damage, although it will be a multi-year undertaking.  At the same time, we continue our focus on goals and projects, one of which is a time line for FENXT.  I am working on tuition assistance and enrollment for 2020-2021 at the moment.
  • Focus is divided between Spring newsletter/appeal & grant-writing.

    I'm very new (2 months!) to the software and studying up on best practices - what does "database clean up" consist of for your organization? I've come across the Duplicate Constituent Report, and we are working on cleaning up our deceased records. Any other "clean up" you would recommend?

    Amanda Morris‍ - One of my personal "database cleanup" processes is quality check queries.  I just added a comment about these on another thread, which you can see here:  https://community.blackbaud.com/forums/viewtopic/147/49624?post_id=193424#p193424  If you save the queries you create, run them regularly, and fix the records that show up each time, you'll not only have a cleaner database, but you'll also likely identify areas where retraining would be helpful. 

  • My focus is on finding a way to keep track of all the applications that are "On Hold Pending Status of Program" due to COVID-19.  Do I just keep moving them forward to the next meeting?

    Amanda, yes reducing duplicates, deceased record finder and updating mailing addresses. We get a report from our USPS called NCOA and we run the address finder in our database. We then cross check to ensure that no seasonal addresses are included, especially if they are snow birds, we do not want to be mailing our summer magazine to their winter address. Otherwise, just ensuring all of our data is as clean as it can get.

  • Typically, we work on the audit reports in February/March. Duplicates are dealt with weekly around here simply based on the amount of online sales we get and that people forget to register or sign in (frustrating). Deceased finder and Address Finder are usually run about this time as well so clean up from there. Preliminary list for annual fund also started.
  • Question:


    Do you run your address/deceased finder in RE NXT or database view. We just acquired NXT and I noticed it comes with address finder automatic updates. I'm curious if NXT generates a control report after it scans our database for new addresses and deceased records like RE database view does. Thanks

    I use the automatic quarterly updates available in NXT. This is screen shot from data health window. Blue links open a report or list of names of those who've moved/lost.


    NCOA summary is a 5 pg summary doc. Don't know what control report looks like to compare.

  • Wow, thats great. I have one more question. When I submit the individual old home addresses that I have coded as Bad Former address under address type. If a new address comes in for that record, will the address finder code it as a new address with (H) for the new home address? Thanks

    Perhaps someone who has used it more will know the answer. I've been here a year and it was started right before my arrival. I do know that one does not pick individual addresses to submit. It seems to run living records. I do not know if there is a criteria that is set for what records or what addresses are reviewed.
