Development Operations Manager (Morristown, NJ)

The Development Operations Manager at Homeless Solutions, Inc is responsible for all aspects of donor database management for the organization. This role will encompass a broad level of responsibilities ensuring the successful management, recording and reporting of all donor related data, and maintaining collaborative working relationships with other staff. This is a full time, exempt onsite position reporting to the Chief Development Officer.

  • Manage and implement all aspects of Raisers Edge Database for Donor & Prospect records including data entry, gift processing and acknowledgements
  • Manage RE NXT and all online donations
  • Produce queries and reports (both financial & analytical) in RE to track fundraising results
  • Produce queries and reports for donor stewardship activities and recognition in periodic community newsletters and the Annual Report donor listing.
  • Use discretion and RE acumen to maintain database security which ensures donor privacy among multiple users
  • Serve as Development Team’s RE point person, providing support and training to other staff as needed. Exercise judgment in utilizing RE Tech support as needed to ensure fundraising best practices are understood and implemented across the Development Team. Act as a liaison between RE Tech support and our IT vendor.
  • Add new constituents to database using online research tools as needed
  • Ensure database integrity and ease of use by providing consistent naming conventions and procedures.
  • Responsible for reconciling Development numbers with the Finance department staff on a monthly/quarterly basis, as well as end of year reporting and the annual audit.
  • Support Chief Development Officer in all aspects of Homeless Solutions’ Development efforts.
  • Provide reports as needed for Board, committee or executive staff meetings.
  • Willingness to evaluate and implement other development technology as required. Maintain inventory of other technical devices used by Development staff in the course of their responsibilities (iPads, credit card swipers, etc.)
  • Exhibit strong personal accountability for awareness of and adherence to company standards, policies, procedures and processes in all aspects of employment with HSI.

Annual Appeal - support the Annual Giving Manager throughout the Annual Appeal process.

  • Prepare RE queries for various segments of HSI’s constituent list and coordinate fulfillment process with the Mail House.
  • Manage and track the entire Matching Gifts process, including follow-up with donors as needed to ensure MG submissions are made in a timely manner
  • Record and acknowledge all donations in RE, exercising judgment regarding the appropriate follow-up stewardship activities
  • Create, update and segment acknowledgement letters on a regular basis
  • Manage and track the entire Matching Gifts (MG) process, including follow up with donors as needed to ensure MG submissions are confirmed in a timely manner.

Event Support

  • Manage the preparation, creation and fulfillment of event mailing lists(Dream Builder's Bash, Women's Day, Volunteer Appreciation, Leadership Giving Reception, etc.)
  • Process all monies related to events and prepare acknowledgments
  • Working together with Events Manager, implement online registration and oversee event registration, check-in and check-out out procedures and activities at all HSI events.
  • Track event activities in RE using Importacular or similar plug-in to import data from OneCause into Raiser's Edge.

Website and Online Express

  • Maintain and update email lists
  • Process volunteer sign ups in RE and forward to Volunteer Manager
  • Update Donation Forms for website

Requirements

  • Bachelor's degree, or comparable professional experience, and 2-4 years fundraising experience preferred.
  • Excellent interpersonal skills, proven ability to work effectively as part of a collaborative team
  • Highly self motivated and experienced in managing multiple priorities
  • Regular, punctual and predictable onsite attendance is an essential element of this role.
  • Excellent organizational and time management skills and strong attention to detail; ability to work effectively in an active and open office environment
  • Excellent verbal and written communication skills
  • A proven aptitude for database management
  • Proficiency in Raisers Edge, MS Office Suite including Excel with ability to mail merge & export files
  • Satisfactory results from regular, periodic background checks.
  • Ability to sit and work at a desk and computer for extended periods of time and be able to lift packages that are no more than 25 pounds of printed materials used in the scope of the job.
  • Job requires participation in special events outside of the office environment and occasional visits to other company sites.
