Email addresses for e-newsletter

Hello! We just set-up eTapestry for our organization (yay!). I have a list of people who have signed up to receive an e-newsletter through a form on our website, and I'm wondering the best way to add those into eTapestry so they can begin receiving our newsletter.

This list is just email addresses, no names, etc. I don't want to make our database messy, but unsure how to add them in without doing so. Thank you!

@Katy Rust have you thought about matching them up with their constituent code and then importing them into eTapestry under the email field? Just a thought. How many emails do you have?

  • @Katy Rust you could change the form on your website to be an eTapestry DIY form and then the information will be populated as each submission is made. You'll need to keep an eye on the number of accounts your subscription will allow, if you think you're going to exceed that number to send to your newsletter plus any other donors.

I do monthly batch uploads from two other internal systems each month, and we have the “Yes! Send me your eNewsletter!" form linked to our website. There are certain fields that are required in eTap; one of them is Last Name of the contact.

I'd set up the form on the website, then use your existing email list to mail to your existing contacts and have them sign up for the New! newsletter. That will scrub that list for people who read your emails. Once people re-register, you will be able to match emails with no names to donors with no email address and merge them. You could even in the e-mail ask them to sign in to opt out of future mailings.

You could just import the email addresses if you have no other information using the eTapestry Import facility. The surname would have to be the email address as well on the Account.

If you subsequently set up a DIY form for capturing more information, if anyone submits an email address already on the database, it should appear as a possible duplicate so you can merge the two accounts.
