Recording Volunteers on e-Tapestry

Hi everyone,

We are a tiny UK charity who are just starting volunteer recruitment for fundraising volunteers. I am wondering what the best practises are for recording individuals as a volunteer on their account? BlackBaud help suggested adding a new persona called “volunteer” but any other suggestions?

Thanks!

    Hi @Georgia Ramplin!

eTapestry comes with a standard user defined field, called Attributes, where you can mark an account as a Volunteer.

We recommend tracking this information using this field (or something similar) and not in a persona. Personas are used for tracking addresses and information related to a specific address.

@Kimberly Hammer I agree with you. Since there is already a field, use it. Also, if you need more detailed information on the volunteer like area of volunteerism, we create custom fields in the defined fields area to tract these.

  • @Kimberly Hammer Ooooh I didn't know this! Thanks so much Kimberly. How would you go about adding more info to that “volunteer” status, like location or fundraising group name, or length of service etc? Just a note in Journal or something else?

    Hi @Georgia Ramplin!
For volunteer information specific to a time/event, we recommend tracking that information in a Journal Contact. Depending on the type of information, you can track it in the note field or in Contact User Defined Fields.

For additional volunteer information related to the constituent, we recommend tracking that at the account level in Account User Defined Fields.
