PowerUp Challenge: Third Events Task

@Crystal Bruce identifying duplicates is a struggle and requires constant monitoring

@Crystal Bruce A couple challenges but the first is there is no “data health review” option to ensure we're not ending up with duplicate records. The online giving forms have this function, there's no reason why the registration forms don't as well. We also have a hard and fast business rule that in order for someone to warrant having a constituent record, they must be a donor or a serious donor prospect. To prevent database inflation, like we've had in the past, we implemented this business rule. If we are doing a free event, and someone simply registers, why can't we keep that record on the attendees list without creating a full constituent record?

@Crystal Bruce the challenge of identifying duplicates. As we move to collecting less data to be more user friendly, it is hard to tie participants to constituent records (in event registration forms and even optimized donation forms). We wind up with many records for the same person but they used different emails, phone numbers, etc depending on how much info provided. We also have “guests” come to events that don't donate/spend money and are not likely to return - yet now they are a constituent in the database and not just a participant in the event.

@Crystal Bruce, can't do this. My events team uses a different platform for events. We are starting to get lists into events after the event, but we can't use it for registration at this point.

@Crystal Bruce It would be nice to have participants who are not made into constituents in the database.

@Crystal Bruce Duplicates.

@Crystal Bruce
Duplicates are always an issue for the participant registering, but also it would be great to be able to match their guests to existing constituents more easily.0 -
@Crystal Bruce
We currently do not have a registration to an event open but this is going to be such a time savor in so many ways. Having everything all within RE is huge.0 -
@Crystal Bruce duplicates and individuals who are really representing an organization. We are currently unable to transfer the $ to the org record.

@Crystal Bruce having real time confirmation emails sent to us once a customer has completed their registration is awesome. With multiple fee options available, customers are able to select which is best suited for them.
I would like to see a drop-down option available. For example, if selecting this fee, then having another option to select upon. We've had to create multiple links for different fees/sponsorships such as Gold, Silver, and Bronze because they have different options within. It would be nice to have those featured all in one form, sharing one link.0 -
@Crystal Bruce Duplicates is a pain point. Also, the ability to search for guest.

@Crystal Bruce
The registrant notifications are straightforward and easy to track; it would be nice if they went through the online data review tool to cut down on creating duplicate records and have more control over how the record is created0 -
@Crystal Bruce
1. Registration at event. QR code entry would be amazing!!2. Participants. Its quite simple when its one person buying entry for themselves. When a company buys for guests is gets a little confusing
3. Duplicate constituents seem to appear a lot.
4. Allocated seating / room set up

@Crystal Bruce Our challenge is that a new record was created even though we already had that person in RENXT.

@Crystal Bruce for most part it was a smooth sailing. However i would love to be able to add the company logo for a standalone registration page.

@Crystal Bruce
We are still in process, I tested on my end. Looks good, if we can have a code to scan for gifts, would be great0 -
@Crystal Bruce have not implemented just yet

@Crystal Bruce
(1) It didn't give me an option to review my test registration and just automatically matched to my record. While this is fine in theory, but it OVERWROTE the data on my record. We have multiple emails and phone numbers for many of our constituents and this is already a huge problem for us. I can “catch” and “disregard” the updates in OLX and need to be able to do this in NXT.(2) I would appreciate being able to add our University logo or something nice for the confirmation emails that will be sent to guests.
(3) When I pull exports from database view (which I need to do for complete guest information to include things like giving info on guests, prospect manager names, multiple class years and/or email addresses, etc.), NONE OF THE PARTICIPANT OPTIONS are there. I have had to pull event registration data from both systems (NXT and database view), VLOOKUP, and merge them into one working document with all the information for our VP.
(4) When we have LARGE events with free registration (IE, Homecoming), is it possible to have students register and NOT make them all constituents? We are very careful about our record band size as a small institution and need the ability to register non-constituent guests like database view.
(5) It is nice that there is an add to calendar link. I used to have to create that on my own for each event in order to add it to the confirmation email.

@Crystal Bruce I agree with Julie Rempfer on all of her points. They're integral to keeping our data clean and efficient use of our time.
I like the add to calendar option, and I can see a lot of potential in the ability to redirect registrants to a webpage for confirmation. We could share details on the page for registrants only, such as parking details and dress code.

@Crystal Bruce The biggest challenge for us is duplicate management and lack of customization in the registration emails. Overall, its a clean process, but still needs more work before we can adopt it.
1 -
@Crystal Bruce Being able to customize communications to be on our branding would be helpful.
1 -
@Crystal Bruce We are in the process of updating our site and I currently do not have the capability to post new forms on our site.

@Crystal Bruce so far it is very easy to set up, but need to test it in more details before I can comment any further

@Crystal Bruce It would be nice if the registrations went through the online data review tool to cut down on creating duplicate records.

@Crystal Bruce I set up an event but was not able to receive an online registration as we don't have merchant services. From what I was able to do, it looks like a convenient way to set up and administer events. This is something that we plan to take a look at in the future.

@Crystal Bruce I agree with Kirsten Petersen that it would be nice if the registrations went through the online data review tool to cut down on creating duplicate records.

@Crystal Bruce
I like that it creates new constituents when someone signs up but doesn't do it for the guest of an attendee.0 -
@Crystal Bruce
Running new event constituents through the online data review tool would be a game changer here. I realize that there are often fewer data points to compare, but I would rather sift through 50 potential John Smiths than have to continue running the duplicate merging queries and processes I do to make sure we don't sent a new donor welcome to board member John Smith.0 -
@Crystal Bruce I like the ability to click on the # of participants, and only see that group. However, if I want to see anyone who chose to Pay Later, it's not obvious. One has to filter all participants by “Open Balance”, instead of listing “Pay Later” in the “Participants” window.

@Crystal Bruce Registration for a variety of paid / free guests is helpful. It would be helpful if online registrants were matched with existing constituents (or at least suggested). I feel like I'm spending a lot of time manually editing registrants' guests names to make them sync up with repeating guests to annual events.
