PowerUp Challenge: Third Events Task

We are still in test phase and not ready to use the form live. I note Julie Rempfer's comments below and agree with her points. For us, it's important to be able to further customise the registration forms so they are on brand. It is also important for us to be able to choose what happens with our RSVPs linking to constituents in our database. We would like the option to a) manually match, b) run through an automised match, c) have automised matching suggestions which are still confirmed manually, d) have attendees who are not given constituent records but sit as attendees on the event and nowhere else in the database. Alongside this, we would appreciate the ability to write profile notes on attendees who aren't constituents (eg: as an event participation record summary note) and be able to pull this in a report to send to our staff at the event.

  • @Crystal Bruce We received registrations through the form, and it's great for tracking the participants and creating list based on our attendees. The biggest issue is that we get duplicate records.

  • @Crystal Bruce We haven't used it for online registration yet, only through the backend to track people who attended a panel session. Our biggest concern is that it creates a record for the participants, which is why we're still holding off.

We have just used it for a free event so far and have not made the switch to paid events yet. We need to but we just haven't!

  • @Crystal Bruce
We used this for one event (our first) in the past. For this year, events are being planned, and we will be using the online event registration forms.

  • @Crystal Bruce I like how participants are added to the pre-event as attending. I like that I can pull reports based on attending the pre-event. The challenges we've had in the past with the online registration forms is the amount of duplicates it created as well as it linked some of our participants with the same name to the wrong constituent and we had to manually switch it. This was back in October, so it might be better with that now. I only tested one person to bring in just now.

  • @Crystal Bruce form creation was simple and I like the consent option to ensure we are honoring our constituent's communication wishes.

    @Crystal Bruce
We really struggle with not yet having the capability of online constituent review. Lots of duplicates being created because we are unable to search & match to the constituent of our choosing.

  • @Crystal Bruce The automatic constituent matching is nice, but it misses flagging duplicates when the email does not match and creates a new constituent at times without even noting that they're new! This is pretty frustrating so we carefully have to review all registrants, not just those flagged as new or potential duplicates.

  • @Crystal Bruce
Our biggest challenge is that it creates a lot of duplicates for us. That means I have to spend extra time merging them.

  • @Crystal Bruce Honestly it was easy. I originally put a fee in the event form but had to go back and edit it to zero because the form asked me to pay the registration fee. Also, the form says adding my address was optional but when I tried to leave it blank I was required to go back and fill it in.

  • @Crystal Bruce
Once I remembered to add the event sub-type, processing event registrations in batch is easy.

@Crystal Bruce, our biggest challenge is the same as what many others have said – it creates a lot of duplicates that then require extra work to merge with the correct constituent. We will not be using the features available in events until that process is improved.

  • @Crystal Bruce
Our organization is not heavy on events and testing the form using a small sample doesn't really allow us to make relevant contributions, but the challenges mentioned by others regarding duplicates and customization would definitely apply to us. On that note, I really like the suggestions made by Jennie Henderson.

  • @Allison Reville
but…constituents can register for both tickets and sponsorship in the same transaction. Previously I would select different gift sub-types for each, but now in batch I have to select one.

  • @Crystal Bruce
I also echo what Jennie Henderson said. With an additional I wish we could add an image to the form. Excited to use is and get away from EventBrite.

  • @Crystal Bruce we will be investigating this functionality with future events. We'll watch for the duplicates!

  • @Crystal Bruce the ability to add a donation to the event is great - I do wish we could add more than one. But the split process where the event and the donation come through is great!
