POSITION SUMMARY:

The Database Specialist & Gift Processor is responsible for ensuring the integrity, accuracy, and usability of our donor database, Blackbaud Raiser's Edge. This role will process all fundraising gifts, reconcile donation data with finance, run progress and summary reports on campaigns, funds, and appeals, generate direct mail and email lists, and enable strategic fundraising through data-driven insights.

KEY RESPONSIBILITIES:

 Gift Processing & Financial Reconciliation

  1. Accurately process all donations (cash, checks, credit card, pledges, in-kind gifts, matching gifts) in Raiser's Edge.
  2. Work closely with the Finance team to reconcile gifts recorded in Raiser's Edge with financial records.
  3. Prepare and manage pledge reminders, acknowledgments, and tax receipts.
  4. Support audit processes and provide documentation for gifts agreements.

Database Maintenance & Data Health

  1. Serve as the primary administrator for Raiser's Edge, ensuring clean, updated, and accurate constituent records.
  2. Enforce naming conventions, coding standards (appeals, campaigns, funds, solicit codes), and data-entry policies.
  3. Run regular data hygiene tasks: identify and merge duplicates, perform global updates/clean-ups, enforce consistency.
  4. Update constituent data (addresses, emails, contact information) including NCOA (National Change of Address) after mailings, and email updates after mass marketing emails.
  5. Import new records from external systems (e.g., our medical records system, Sunwave) into Raiser's Edge.
  6. Execute data append/augmentation (e.g., wealth data, contact information) using third-party services.

Reporting, Analytics & Segmentation

  1. Develop, run, and maintain complex queries, exports, and reports in Raiser's Edge to monitor fundraising performance (campaigns, appeals, funds).
  2. Provide regular performance reporting: progress to goal, year-over-year comparisons, pipeline analysis.
  3. Pull mailing lists (direct mail) and email lists for fundraising campaigns.
  4. Work with the Development Department to design and support constituent segmentation strategies.
  5. Build dashboards or data visualizations as needed to present key donor/fundraising metrics.

Prospect Management & Moves Management

  1. Set up and maintain a Moves Management system in Raiser's Edge, assigning prospect portfolios and tracking actions.
  2. Work with development officers to assign prospects, track “next action” steps, and log cultivation, solicitation, and stewardship actions in RE.
  3. Quarterly execution of wealth screenings, import screening results into Raiser's Edge, and integrate new insights into prospect portfolios.

Database Projects & Quality Initiatives

  1. Design and lead data cleanup projects (e.g., standardizing coding, updating constituent types, solicit codes, communications preferences).
  2. Collaborate with the Donor Relations Manager to align data practices with fundraising strategy, stewardship plans, and segmentation goals.
  3. Document, review, and update internal data processes, policies, and standard operating procedures.
  4. Train and support development staff on Raiser's Edge best practices, queries, actions, and data hygiene.

What You Bring

DESIRED KNOWLEDGE / SKILLS / ABILITIES:

  • Bachelor’s degree preferred (or equivalent professional experience).
  • Minimum of 3–5 years of experience in nonprofit database management, with direct experience in Raiser's Edge (or comparable fundraising CRM). Many similar roles require managing Raiser's Edge, processing gifts, and reporting. 
  • Strong analytical skills, with proficiency in building and running complex queries, exports, and reports. 
  • Demonstrated experience with data hygiene and cleanup projects.
  • Experience reconciling donor data with finance/audit processes. 
  • Proficiency in Microsoft Office (especially Excel) and experience with data append tools or third-party services.
  • Commitment to confidentiality, donor privacy, and understanding of nonprofit fundraising best practices.
