Inquiries Applying for Future Years

Hello! Has anyone else had an issue with inquiries being able to apply for future years? We have NEVER had applications for future years (beyond our current academic year and current admission year) and we just received applications for future years. Which we don't want! Has anyone experienced this or have any insight?

  • @Casey Bell I have not had that happen (YET!). But since we started using the system where they automatically are invited to login, even though it is for a future year, I have dated the applications for each year. Each September 1st, I publish the following year's application. We do accept mid-years, so I keep the current year published until January. I also mention in the application checklist directions with which year we are currently accepting applications for.

    @Casey Bell - check your “Login Setup" by navigating to Enrollment management> Admissions > Admissions setup > Application forms > Login Setup. If you scroll down to the end of the page, you will see all the available years students can begin an application for.

    Also, the inquiry forms now have an option to “Connect and invite new users to BBID?” If enabled, it will automatically email the families to create an account to log into the system once you process the inquiry form. If your checklist has an application form on it, they can start the application this way.

    Bryan, that is if you allow people to set up their own account? Does that work well?

    We don't do that. We have them inquire first.

  • @Casey Bell In terms of families being able to actually select a future entering year, I would double check the dropdown options on your active application form(s). When you add future school years within Core and make them available for inquiries/applications, it automatically activates them within that dropdown list. There is a separate setting within the login setup for the self-service account/application creation page.

    Another thing to consider in your process is how checklists are assigned when processing inquiries, etc. I've been creating individual checklists for each future admissions year that don't have any checklist steps on them at the moment so if the family does happen to sign in to their account via BBID, they won't be able to start the active application.

  • @Casey Bell Because we did not want future applicants applying years too early, I turned the automatic BBID admission email off. When we receive an inquiry, I only send them the invite through Core when they are applying for the current admission season.

  • @Bryan Lorenzo Thanks! Yes, if they want to start their own application they can only pick from the ‘actual’ years we have available but we put the inquiries in for future years and have NEVER had anyone submit an application for a future year before. I guess we'll have to do the checklist work around that you mentioned but I feel like there's a lot of room for error doing it that way. I would prefer to have tidy checklists! Wish there were a way to ‘open’ applications by entering year.

    Tl;dr: we have a separate checklist for future interest and a “future interest” milestone on that checklist that hides everything following until waived. The parent isn't able to see the application until that future interest entry is waived.
