Special thanks to the Blackbaud Team, specifically Julia Meseck. I have been in touch with Julia throughout our time after switching to Billing Management, and she has listened to the feedback provided and gotten things to the developers which help make my life easier.

Today she emailed and let me know that a suggestion I had for Billing Management was put into play. We use a clearing account for the credit card payments due to the payout period from BBMS. Our original set up was that we flowed it through operating, but it was causing a nightmare for reconciling the bank account, too much in and out. The only problem with this was we needed to set the cash account as the clearing account, since most payments are electronic. That meant that when we had a cash or check deposit, I needed to go into each payment and manually change the account from the holding account to our operating fund. A bit of a pain, but not the most horrible thing I have ever had to do. Today we can now set a BBMS clearing account as well as a cash account. It may seem like a little thing but it takes away that human error possibility.

  • @Dawn Alonso So does this mean you can have more than one cash/bank account now? Or can you still only have one, but can utilize a clearing account as well? Can you give a little more detail? TIA!

    So there is a setting for default accounts:

    We have our cash account as our regular operating account. The Blackbaud Merchant Services clearing account is set for just that. The intent is that all of the credit cards will go through the clearing account. When we receive the disbursements from Blackbaud our accounting software (FENXT) will reflect the net deposit to our operating account (debit), the credit card fees (debit), and then the holding account will receive the credit to "clear" the total deposit from the disbursement report.

    Regular cash payments and check deposits would go through the standard cash account.
